STARTING HOURLY RATE: $19.38 - $20.26 (PLACEMENT DEPENDS ON SIMILAR EXPERIENCE HELD AND EDUCATION)

SUMMARY:
The Registration Office Assistant provides general clerical and operational support and assistance for school staff and students at small schools and support schools.
ESSENTIAL FUNCTIONS
  1. Maintains accurate records and filing systems in accordance with appropriate specified policies and procedures; updates files, student records (e.g., grades, attendance, discipline, program testing files) and other specialized records related. Maintains high levels of confidentiality.
  2. Performs a variety of general clerical duties (e.g., typing, answering phones, copying, scheduling meetings). Operates general office equipment (e.g., computer, copier).
  3. Provides information regarding programs and procedures to students, parents and public according to prescribed procedures.
  4. Greets visitors in a professional and friendly manner, answers telephones and transfer calls as deemed appropriate; assists students, parents, teachers, staff and visitors.
  5. Arranges hearing and vision testing and parent conferences for students.
  6. Orders students' transcripts from home schools.
  7. Creates correspondence, writes and responds to emails, processes data entry, types letters, memorandums, reports and other documents. Completes and submits district forms. Prepares and handles department mailings as needed.
  8. Reviews and edits materials for accuracy, completeness, and conformance to District policies and procedures.
  9. Maintains and purchases inventory and supplies. Prepares and handles requisitions, processes receipt of products and supplies; verifies budget codes for purchasing.
  10. Supports the relationship between the Phoenix Union High School District and the public by demonstrating courteous and professional behavior when interacting with students, parents, visitors, and school staff; maintains absolute confidentiality of work-related issues, client records, and school information; follows Governing Board Policies; performs all other related duties as required or assigned.

REQUIRED QUALIFICATIONS
Education, Training, and Experience Guidelines:
High School diploma or GED equivalent; AND two years general clerical experience.
License and Certification Requirements:
Possess an active Arizona Department of Public Safety IVP Fingerprint Clearance Card or obtain one within the first 90 workdays of employment.

  • Skill in understanding, explaining, and applying relevant rules, regulations, policies, and procedures.
  • Skill in researching and compiling data for reports, presentations, and technical documents.
  • Ability to follow verbal and written instructions and procedures.
  • Ability to provide excellent customer experiences, including but not limited to interacting tactfully and courteously with the public.
