Position Summary
The Preventive Medicine Section, within theDepartment of Internal Medicine, is seeking a flexible, outgoing, professionalindividual with excellent computer and communication skills to support thePreventive Medicine Residency Program.
The Administrative Assistant 2, reporting directly to ourProgram Manager, will help support faculty, residents, medical students, andstaff. This dynamic role involves customer service tasks such as responding toinformation requests, scheduling meetings, maintaining calendars, coordinatingactivities and travel arrangements, purchasing supplies and materials,attending meetings, preparing minutes, assisting with the UNM HEaRT Program;and assisting with other projects as determined by the needs of thedepartment's management. The ideal candidate will demonstrate clear and concisecommunication skills to establish and maintain positive working relationshipswith various stakeholders.
The hired individual will work Monday through Friday, 8am to5pm with no weekends scheduled.
The Department of Internal Medicine is a large, progressive department with adiverse staff working in dedicated teams to provide quality work in anorganized, effective, and efficient manner through innovation, training, andeducation. Through our collaborative work effort, we support the faculty andenhance the missions of the department, school, Health Sciences Center, andUniversity.

  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.

Minimum Qualifications
High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.
Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
Preferred Qualifications
  • Administrative experience in an academic medicine setting
  • Proficiency with: Microsoft Word, Excel, PowerPoint, Outlook, Adobe Acrobat, and Zoom
  • Detail oriented and have strong organizational skills
  • Knowledge of purchasing, ordering, reconciliations, with University of New Mexico's reconciliation program, Chrome River
  • Establishing, maintaining, and updating files, databases, records, and other documents
  • Experience scheduling and coordinating meetings, guest speakers, and conferences
  • Experience making travel arrangements, preparing itineraries, and preparing reimbursements
  • Team player with the ability to also be resourceful and work effective independently
