Job description

This position will support the payroll department in processing and administering payroll for the USA and Canada, ensuring accuracy and timeliness of employee pay, benefits deductions and compliance with company and regulatory requirements and guidelines. This role works closely with the Payroll Lead to execute day-to-day payroll operations and accounting with payroll-related reporting and employee support.
DUTIES AND RESPONSIBILITIES:
  • Process weekly disbursement of multi-country, multi-state/province and multi-company payroll (biweekly and semi-monthly), including garnishments and liens, benefits and taxes, consistent with federal, state and provincial wage and hour laws
  • Process new hires, temporary workers, transfers, promotions, rate changes, direct deposit accounts, deductions and terminations in a timely and accurate manner
  • Oversee and adjust employee's timecards on a daily basis
  • Assist employees with payroll, time-off and RRSP, 401(k) related questions
  • Review and analyze monthly sales commission reports
  • Monitor employees vacation/sick time and run quarterly reports for supervisors
  • Set up direct deposit accounts
  • Manage and maintain all liens and garnishments
  • Retrieve Fidelity Feedback Files and add all in 401k contributions and 401K loan deductions for employees
  • Assist in preparation of state, provincial and federal reports
  • Download expense reports from Concur and upload into payroll; Set up new employees in our Concur Expense System and email instructions on utilizing the system
  • Set up new accounts with agencies and payroll facilitator for state/province and local taxes keeping in compliance
  • Responsible for preparation of provincial and federal reports and ensuring all provincial/federal reporting requirements are met
  • Researches discrepancies of payroll information and/or documentation for the purpose of ensuring accuracy and implementing corrective measures as necessary
  • Work on payroll projects in conjunction with the Payroll Lead
  • Open and distribute all department mail
  • Download all payroll/tax reports on the payroll drive
  • Verify and investigate discrepancies on UltiPro debit invoices
  • Complete all requests for Verification of Employment
  • Reset passwords for security access to employee information
  • Maintains personnel files including, scanning and uploading employee documentation
  • Other duties as assigned
  • Reports to the Payroll Lead

SKILLS AND EXPERIENCE REQUIRED:
  • 1+ years Payroll experience required; degree
  • Positive interpersonal communication skills, self-motivation and self-discipline
  • Ability to work with information of a confidential nature
  • Accuracy and attention to detail required
  • Recent experience in a position having significant payroll responsibilities in the coordination and supervision of payroll operations for 100+ employees in a multi State/Province environment
  • General payroll, bookkeeping, record keeping and filing procedures
  • Strong technological skills including MS Office (Word, Outlook, Excel, PowerPoint); UKG (aka Ultimate Software or UltiPro) experience a plus
  • Strong verbal and written communication skills
  • Knowledge of all applicable state and federal laws and guidelines preferred; experience with Canadian payroll and provincial/federal laws preferred
  • Experienced working in a multi-location and multi-state environment is preferred
  • Passionate, Adaptable, Customer Focused and Teamwork oriented
  • Work confidentially with discretion on privileged and sensitive information
  • Strong sense of urgency and accountability

PHYSICAL/MENTAL REQUIREMENTS:
  • Requires prolonged sitting, standing, bending and walking
  • Moderate to heavy use of hands in grasping, repetitive hand movement and finger coordination in keeping records and using a keyboard
  • Speech and hearing to communicate effectively in group settings, one-on-one, and by telephone
  • High level of concentration, confidentiality and organization
  • Ability to multi-task
