Job description

At SunCloud Health, the Administrative Assistant provides essential support to ensure the efficient operation of an office or department. Key responsibilities include managing schedules, handling communications (phone calls, emails, etc.), organizing meetings and appointments, maintaining files and records, preparing reports, and assisting with other clerical duties as needed. Serve as a liaison between staff, clients, and vendors, and often perform tasks such as data entry, inventory management, and coordinating office supplies. Strong organizational, communication, and multitasking skills are crucial in this role, along with proficiency in office software and technology.

Job Qualifications:

  • Experience with Electronic Health Records Management
  • Experience working in crisis setting with individuals and families
  • Ability to work flexible hours
  • Strong written and oral communication skills
  • Knowledge of general office procedures
  • Knowledge of word processing and spreadsheet software, including Word and Excel, and the ability to learn billing software and electronic medical records
  • Ability to operate office equipment (fax, copier, mail, etc.)
  • Proficiency in computer skills, especially using Outlook, Word, Excel and customized databases
  • Ability to work in and adapt to the culture of a multi-cultural, community-based organization
  • Commitment to maintain confidentiality
  • Understanding of SCH’s mission and culture and the ability to maintain appropriate boundaries with staff and patients in all circumstances
  • Employment contingent on background check, CANTS and all other applicable requirements as required by law to include DASA and Joint Commission.

Essential Functions:

  • Work with other members of the team to ensure successful communication and coordination between all SCH’s programs and participate in strategic planning.
  • Kindly welcome all visitors to the space, complete visitor form and direct them into the right place.
  • Collects weights, vital (using vitals machine for blood pressure and heart rate as ordered in weekly staffing), utox per schedule determined by team members in staffing. Send email with out-of-range results to the team immediately following collection of data and enter all data into Kipu.
  • Notify medical provider for abnormal results per vital signs reporting protocol.
  • Manage Quest orders and results as ordered by the clinical team.
  • Complete monthly safety walk through and report findings to Director of Nursing and Director of Compliance.
  • Handle all mail and packages.
  • Prepare and edit documents as needed.
  • Maintain inventory and purchasing through Amazon, Staples and others as identified by Site Director and Director of Operations.
  • Arrange daily transportation in accordance with SCH transportation policy via Uber.
  • Support patients in the milieu as needed and as instructed by the Site Director.
  • Send new admit welcome email
  • Contact any no-show patients within the first hour and info/update staff of the outcome. Complete the next steps as directed by Site Director, i.e.: emergency contact, wellness check.
  • Carry out other duties as assigned by the Site Director, Director of Operations and Director of Compliance.
