The Opportunity

We are seeking an exceptional Executive Assistant to serve as a strategic operational partner to the Principal across business and personal initiatives.

This is not a traditional administrative support role. The ideal candidate is highly organized, operationally-minded, proactive, and able to create structure within a dynamic and fast-paced environment. This person will play a critical role in helping manage priorities, streamline communication, improve workflows, and ensure operational continuity across the Principal's day-to-day activities.

The right individual is someone who naturally thinks in systems, anticipates needs before they arise, and brings a high level of emotional intelligence, professionalism, approachability, discretion, follow-through, and operationalization to everything they touch.

This role requires someone who is equally comfortable managing complex calendars, organizing information across multiple initiatives, capturing highly detailed meeting notes, and leveraging AI tools to improve efficiency, organization, and execution across the office.

This role is fully on-site in Longmont, Colorado and requires flexibility for domestic and international travel alongside the Principal as needed.

Requirements

Executive Support & Operational Partnership

Executive Partnership:
Serve as a trusted operational partner to the Principal across business and personal initiatives. Act as an extension of the office by improving organization, prioritization, communication flow, and execution across a dynamic and fast-moving environment.

Calendar & Priority Management:
Own and manage highly complex calendars, shifting priorities, and communications across multiple entities, initiatives, and time zones. Anticipate conflicts before they arise and proactively create structure around evolving priorities.

Travel & Logistics Coordination:
Partner closely with the Travel & Events and Security teams to coordinate complex domestic and international travel logistics, itineraries, scheduling, and contingency planning. Ensure seamless operational execution and continuity across multiple locations and time zones while supporting the Principal's evolving schedule and priorities.

Confidential Operations:
Handle highly sensitive information, communications, and operational matters with absolute discretion, professionalism, and mature judgment.

Systems & Operations Management

Systems Thinking:
Design and maintain integrated workflows that connect the Principal's personal logistics, HFO investment activities, operational priorities, and public engagements. You do not simply complete tasks - you build systems and processes that create operational leverage and long-term efficiency.

Operational Infrastructure:
Build and maintain scalable SOPs, trackers, workflows, project plans, and organizational systems that improve visibility, accountability, and execution across the office and broader leadership ecosystem.

AI Integration:
Actively utilize AI tools (LLMs, agents, automation software, and AI-powered productivity platforms) - beyond basic email drafting. You will leverage AI for research synthesis, workflow automation, meeting preparation, knowledge management, scheduling optimization, and operational coordination to create a force-multiplier effect for the Principal and leadership team.

Information Architecture:
Organize and maintain highly structured, searchable, and secure documentation and communications across Google Workspace, Slack, Notion, Jira, Confluence, and related systems, ensuring leadership has immediate access to critical operational context and information.

Meeting Management & Knowledge Capture

Elite Note-Taking:
Capture high-fidelity notes during complex operational, technical, investment, and strategic meetings. You must be able to synthesize nuanced discussions into concise summaries, action items, decision logs, and clear next-step trackers in real time.

Institutional Memory:
Serve as an organizational memory layer for the Principal's office by maintaining highly organized records of key decisions, strategic discussions, operational updates, and ongoing initiatives.

Execution Tracking:
Track deliverables, owners, priorities, deadlines, and follow-through across multiple concurrent initiatives to ensure accountability and operational continuity.

Cross-Functional Coordination

Stakeholder Coordination:
Partner closely with executives, operators, security personnel, portfolio leaders, and external stakeholders across multiple businesses and initiatives simultaneously.

Strategic Support:
Support speaking engagements, external meetings, operational initiatives, special projects, and evolving priorities as needed within a highly dynamic environment.

Operational Alignment:
Help maintain communication flow, organizational alignment, and execution consistency across a rapidly evolving ecosystem of companies, initiatives, and leadership teams.

What We're Looking For

  • 5+ years of experience supporting senior executives, founders, principals, or leadership teams in fast-paced environments
  • Must be willing to work on-site full-time in Longmont, Colorado
  • Ability and willingness to travel domestically and internationally as needed (approximately 20-30%)
  • Exceptional organizational skills with the ability to manage multiple competing priorities simultaneously
  • Strong systems-thinking mindset with the ability to create structure, process, and operational clarity
  • Elite-level note-taking, information synthesis, documentation, and follow-through capabilities
  • Highly technologically fluent with demonstrated utilization of AI tools beyond surface-level administrative tasks
  • Strong written and verbal communication skills with polished executive presence
  • Deep comfort operating with discretion, confidentiality, and mature judgment
  • Proven ability to solve problems independently and operate with a high degree of ownership
  • Experience within technology, blockchain, venture, startup, investment, family office, or operationally complex environments preferred

Compensation & Benefits

Base Salary

The base salary for this position ranges from $105,000 to $125,000 annually, depending on overall experience, qualifications, and performance throughout the interview process. This base salary is only one component of the total compensation package.
