Job description

Part-Time Practice Manager — Wellness & Longevity Services (Remote, Full-Time Potential)



Let's Thrive Health is a growing Miami-based precision health practice. Our psychiatry division is established — we're now launching a full medical wellness division: hormone optimization, medical weight management, peptides, IV infusions and injectables, aesthetics (neurotoxins, Hydrafacial, microneedling/PRP), and longevity programs. The model is hims/hers-style: streamlined digital intake, clinician-led care, and compounding-pharmacy fulfillment shipped directly to the patient.

We're hiring an experienced, hands-on practice manager to own the operational side of these service lines. Part-time to start, fully remote capability, with a clear path to full-time as the division scales.


Who you'd work with

The founder is a dual-credentialed psychiatric Nurse Practitioner and CRNA with a running psychiatry practice; a physician medical director covers the wellness lanes. The launch plan, protocols, budget, and tech stack (Healthie EHR, GoHighLevel, Shopify) already exist. You're executing and owning — not waiting on decisions.

What you'll own

  • Build and run the end-to-end workflow for each service line: intake → clinician review → prescription → compounding pharmacy → fulfillment/shipping → follow-up → refill/renewal
  • Manage compounding pharmacy relationships day to day — onboarding, order status, clarifications, shipping issues, transfer/failure recovery, pricing updates (503A/503B experience required; peptide fulfillment experience strongly preferred)
  • Stand up and maintain SOPs, consents, intake forms, and protocols in Healthie and GoHighLevel
  • Own inventory operations for in-person services: ordering, lot/expiration tracking, cold chain, reorder points (aesthetics products, IV supplies)
  • Coordinate labs: orders, results routing, patient follow-up scheduling
  • Support service-line launches: vendor selection, menu setup, checklist-driven go-lives
  • Track and report KPIs: fulfillment success rate, refill/renewal readiness, subscription retention, per-service margins
  • Patient-experience operations: status updates, membership/subscription management, escalation routing (clinical decisions always stay with licensed clinicians)

Your first 90 days

  • Day 30: Hormone + weight-management workflows live end-to-end (intake → clinician → pharmacy → ship → follow-up), two compounding pharmacies onboarded, SOPs documented
  • Day 60: IV/injectable/ GLP/Peptides/Weight loss menu operational with inventory and lot tracking; refill/renewal engine running
  • Day 90: Aesthetics launch checklist complete, KPIs reporting weekly, everything documented well enough to survive without you

You must have

  • 2+ years managing operations in a medspa, wellness/longevity clinic, hormone/TRT clinic, or telehealth wellness company (D2C telehealth operations are ideal)
  • Direct, recent experience working with compounding pharmacies — you know how prescriptions, refills, transfers, and shipping actually work
  • Hands-on admin experience with an EHR/telehealth platform (Healthie a big plus) and CRM/funnel tools
  • Working knowledge of the compliance landscape for these services (FDA compounding rules, marketing-claim limits, patient pharmacy choice) — nothing here should be new to you
  • Self-directed remote operator: you build the system, document it, and run it without hand-holding
