The Executive Assistant provides strategic, operational, and administrative support to one or more senior Capital Markets executives and their leadership teams. Acting as a trusted business partner, the role enables executive effectiveness through proactive planning, operational coordination, stakeholder management, and execution of key business priorities.

The position requires strong judgment, discretion, organizational excellence, and the ability to manage competing priorities in a fast-paced and complex environment. The Executive Assistant plays a critical role in supporting business operations, driving efficiency, coordinating strategic initiatives, and fostering collaboration across teams.

Key Responsibilities

Executive Support & Business Management

  • Serve as a trusted partner to senior leaders by providing proactive administrative, operational, and strategic support.

  • Manage highly complex calendars, prioritize competing demands, and ensure alignment with business objectives.

  • Coordinate and support executive meetings, leadership forums, and strategic planning sessions.

  • Anticipate executive needs and identify opportunities to improve efficiency and effectiveness.

Strategic & Operational Support

  • Support the execution of business priorities, strategic initiatives, and departmental objectives.

  • Analyze information and prepare reports, dashboards, presentations, and executive briefings.

  • Maintain tracking systems for priorities, projects, action items, and key deliverables.

  • Monitor and escalate issues, risks, and deadlines as appropriate.

Communications & Stakeholder Management

  • Prepare professional communications, presentations, correspondence, and leadership materials.

  • Build effective working relationships with executives, business partners, clients, and external vendors.

  • Facilitate information flow across teams and ensure timely communication of key updates.

Event & Meeting Management

  • Coordinate planning and execution of internal meetings, leadership offsites, town halls, client events, and employee engagement activities.

  • Manage logistics including venue selection, meeting materials, catering, technology requirements, and attendee coordination.

Financial & Administrative Management

  • Manage budgets, invoices, expense reporting, reimbursements, and procurement activities in accordance with organizational policies.

  • Ensure all administrative activities comply with established governance and control requirements.

Travel & Logistics

  • Coordinate complex domestic and international travel arrangements.

  • Prepare detailed itineraries and contingency plans to support seamless executive travel.

Process Improvement & Governance

  • Identify opportunities to simplify, standardize, and improve administrative processes.

  • Contribute to operational excellence initiatives and implementation of best practices.

  • Ensure adherence to governance, risk management, compliance, and regulatory requirements.

Qualifications

  • Post-secondary education in Business Administration or a related field preferred.

  • Advanced proficiency with Microsoft 365 applications and collaboration platforms.

  • Demonstrated ability to maintain confidentiality and exercise discretion.

The salary range for this role is $75,000 up to $85,000 CAD (subject to the candidate meeting the specific skills, experience, education, and qualification requirements.

You're fluent in French and English to support business operations outside the province of Quebec.

Salary:

$45,500.00 - $84,500.00

Salaries will vary based on factors such as location, skills, experience, education, and qualifications for the role, and may include a commission structure. Salaries for part-time roles will be pro-rated based on number of hours regularly worked. For commission roles, the salary listed above represents BMO Financial Group's expected target for the first year in this position.

BMO Financial Group's total compensation package will vary based on the pay type of the position and may include performance-based incentives, discretionary bonuses, as well as other perks and rewards.
