Strengthen Charge Capture, Compliance, and Training in a Specialty Environment

Royal Vista Veterinary Specialists, a proud Thrive Pet Healthcare partner, is seeking a detail‑oriented and collaborative Charge Capture Audit and Training Specialist to support accurate billing, medical record integrity, and team education across specialty and emergency practices.

In this role, you’ll partner closely with hospital leadership, clinicians, and regional teams to ensure charge capture accuracy, improve compliance with Thrive standards, and deliver effective training that empowers teams to succeed.

What This Role Is All About

The Charge Capture Audit and Training Specialist plays a critical role in:

  • Ensuring accurate and complete charge capture
  • Auditing estimates, procedures, and medical records
  • Identifying trends in under‑ or over‑charging
  • Supporting financial health at the hospital and regional level
  • Training teams to confidently and consistently apply best practices
  • This position blends clinical knowledge, auditing, analytics, and education and is ideal for someone who enjoys problem‑solving, collaboration, and continuous improvement.

What You’ll Do

Leading With Your Head — Audit, Accuracy, and Analysis

  • Perform daily charge capture audits on discharged accounts using hospital systems and internal databases
  • Review estimates, procedures, and historic encounters for charge accuracy and documentation completeness
  • Ensure compliance with Thrive standards for estimates, invoicing, discounting, and medical records
  • Identify and track over‑ and under‑charges for reporting, billing correction, and training purposes
  • Evaluate alignment between medical record documentation and charges billed
  • Report daily audit findings to Practice Managers / Practice Leaders and provide weekly reports to regional leadership

Leading With Your Heart — Partnership, Communication, and Trust

  • Collaborate with practice and regional leadership to support financial and operational health
  • Provide training and education to hospital leadership and staff on charge capture and documentation standards
  • Communicate billing discrepancies with clinicians in a timely and professional manner
  • Support client financial communications when appropriate per hospital protocol
  • Partner with physicians and leadership when updated estimates or deposits are needed

Leading With Your Hands — Process Improvement and Training

  • Develop and maintain charge capture audit cadences and reporting templates for:
  • Daily real‑time exam, procedure, and surgical reviews
  • Monthly surgical invoice reviews and random audit sampling
  • Support front office and business teams with deposit collection and updated treatment plans
  • Prepare and track client account balance adjustment requests per hospital workflows
  • Monitor estimate conversion rates for selected practices
  • Build and maintain Vetspire packages and macros to improve billing accuracy and compliance
  • Develop and deliver training for:
  • New hires
  • Individuals or teams identified through audits as needing additional support

What We’re Looking For

Experience & Qualifications

  • 3+ years of veterinary technical experience (preferred)
  • 3+ years of billing, auditing, or revenue integrity experience in veterinary or medical settings (preferred)
  • Strong understanding of charge capture workflows and medical documentation standards
  • Experience with Vetspire and/or EzyVet strongly preferred
  • Comfort working with data, trends, and reporting
