Specialty Administrative Assistant
Summary
The Specialty Administrative Assistant supports the daily operations of the Specialty Pharmacy team by managing patient demographic updates, coordinating prescription workflows, assisting with prior authorizations, and ensuring accurate and timely communication with patients, providers, clinics, and insurance companies. This role plays a critical part in maintaining up‑to‑date patient profiles, supporting refill management, resolving insurance issues, and ensuring smooth administrative operations that directly impact patient care and service quality.
Education amp; Experience Requirements
  • High School Diploma or equivalent required.
  • Must be licensed (unrestricted) and registered as a Pharmacy Technician or be willing to apply for a temporary registration as a Pharmacy Technician Trainee in the state of employment.
  • One (1) year of experience in an administrative role or similar; pharmacy experience preferred.
  • Strong written and verbal communication skills with the ability to work effectively with individuals from diverse backgrounds.
  • Excellent time management and organizational skills.
  • Detail‑oriented with the ability to multitask effectively.
  • Efficient, self‑motivated, and proactive.
  • Ability to work independently and collaboratively within a team environment.
  • Proficiency with Word, Excel, and Access.

Essential Functions amp; Responsibilities
  • Patient amp; Prescription Management
  • Enter new patient demographics based on site requirements.
  • Verify and update patient information, including insurance and demographic details.
  • Organize prescriptions by script number and pull prescriptions for copying based on audit needs.
  • Ensure active patient profiles are current, accurate, and updated with timely completion of refills.
  • Verify that patient refills are processed and shipped appropriately.

Administrative amp; Operational Support
  • Support Specialty Care Representatives (SCRs) with mailings, placing prescriptions on hold, and contacting providers for refill requests.
  • Review SCR daily tasks to ensure completion and follow‑through.
  • Manage incoming prior authorization requests, ensuring timely and accurate processing.
  • Research and obtain co‑pay cards for eligible patients.
  • Manage weekly co‑pay reports to ensure all eligible claims are billed correctly.
  • Provide continuous follow‑up on outstanding refills.

Insurance amp; Communication
  • Problem‑solve insurance issues by contacting insurance companies to verify patient coverage.
  • Record all communication and events related to patients, staff, clinics, providers, and insurance agencies.
  • Answer telephone calls and take messages related to patient refill requests and other pharmacy business.
  • Print, sort, and fax refills according to site and provider preferences.
