Job description

Position Overview:
We are seeking a highly organized and proactive Project Coordinator to join our dynamic team in the energy and Data Center Power sector. As a key member of the Operations Team, you will play an essential role in supporting project execution and ensuring operational efficiency for a variety of projects, including power generation for data centers, microgrids, solar PV, and battery energy storage systems (BESS). This position requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities effectively. This position reports to the Project Controls Lead and supports all aspects of project execution (Engineering, Procurement and Construction).
Key Responsibilities:
Document Control & Reporting:
  • Maintain project documentation, ensuring all records are accurate, up-to-date, and readily accessible.
  • Develop familiarity with key project documents, including customer contracts, interconnection agreements, engineering deliverables (drawings, studies), procurement records (POs, SOs, supply agreements), construction permits, and financial documentation.
  • Ensure consistent document management practices, including standardized folder structures and proper file organization.
  • Support the preparation and distribution of project reports, including progress updates, status reports, and meeting minutes.
  • Assist in developing and maintaining centralized project databases and project information platforms.

Procurement & PO Tracking:
  • Track purchase orders to ensure timely processing, delivery, and alignment with project schedules.
  • Coordinate with procurement teams and vendors to resolve discrepancies and maintain accurate tracking logs.

Budget & Schedule Support:
  • Support the Project Controls Lead in monitoring project budgets, including cost tracking and basic variance analysis.
  • Assist with schedule updates and tracking key milestones.
  • Identify and escalate potential risks or variances related to cost and schedule performance.

Team Coordination & Communication:
  • Facilitate coordination among EPC stakeholders, including engineering, procurement, construction teams, and subcontractors.
  • Organize project meetings, prepare agendas, and track action items through to closure.

Other Responsibilities:
  • Provide administrative and coordination support to the Project Controls Lead and broader EPC team.
  • Contribute to process improvement initiatives to enhance project execution efficiency and document control practices.

Qualifications:
  • Education:

Associate degree or higher in Business Administration, Project Management, or a related field, or equivalent work experience.
  • Experience:

5+ years of experience in project coordination, administrative support, or similar roles
Experience in power generation or construction projects is preferred.
  • Technical Skills:
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Familiarity with project management tools/software (e.g., Procore, Primavera P6, Microsoft Project, or similar).
  • Experience with Procure is a plus.
  • Experience with procurement and cost tracking systems is preferred.
  • Soft Skills:
  • Strong organizational skills with high attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced, team-oriented environment.
  • Proactive, solution-oriented mindset with strong follow-through.
