Luxury Fleet Operations & Guest Experience Manager
Drive Awhile | Los Angeles, California
Full-time, non-exempt
$70,500 annual base salary, plus overtime and performance-based bonus potential
Position Overview
Drive Awhile is seeking a hands-on, highly organized Luxury Fleet Operations & Guest Experience Manager to take complete ownership of the Drive Awhile and Stay Awhile vehicle fleet.
This person will oversee the complete lifecycle of every vehicle, including daily condition, inspections, cleaning, rental preparation, guest communication, transportation, preventative maintenance, repairs, registrations, insurance claims, warranty management, recalls, fuel cards, tolls, citations, fleet software, service history, vendor contracts, pricing, utilization, and eventual sale or replacement.
This is not simply a driving, delivery, or vehicle-coordination position. We are looking for someone who will serve as the central source of information and accountability for the entire fleet and take responsibility for each vehicle’s safety, presentation, availability, operating cost, rental performance, and long-term condition.
The right candidate will be equally comfortable inspecting tires, assisting a luxury guest, negotiating with a repair shop, managing an insurance claim, organizing vehicle records, and identifying opportunities to improve rental revenue.
Primary Responsibilities
- Maintain a complete and current inventory and digital record for every Drive Awhile and Stay Awhile vehicle.
- Track each vehicle’s location, mileage, condition, keys, equipment, operating costs, service history, claims, rental activity, and value.
- Establish and manage preventative maintenance and inspection schedules.
- Inspect tires, tread depth, tire pressure, brakes, fluids, batteries, warning lights, windshields, interiors, exteriors, and general performance.
- Identify mechanical, cosmetic, and safety issues before they cause guest problems or unnecessary downtime.
- Coordinate routine service, mechanical repairs, detailing, bodywork, wheel repair, dent removal, windshield replacement, and cosmetic restoration.
- Coordinate vehicle deliveries, pickups, returns, exchanges, cleaning, refueling, and charging.
- Perform and document pre-rental and post-rental inspections, including photographs, mileage, fuel or charge level, existing damage, new damage, and missing equipment.
- Communicate professionally with guests before, during, and after rentals.
- Coordinate roadside assistance, towing, replacement vehicles, and urgent vehicle solutions.
- Ensure all Stay Awhile vans remain clean, organized, safe, properly maintained, and representative of the company’s brand.
- Manage relationships with mechanics, dealerships, body shops, detailers, tire shops, transporters, towing companies, and specialty automotive vendors.
- Obtain and compare estimates, negotiate pricing and completion dates, monitor repairs, and inspect completed work.
- Maintain vendor contracts and track vendor pricing, warranties, quality, and turnaround times.
- Manage DMV registrations, renewals, smog requirements, insurance documentation, warranties, and manufacturer recalls.
- Report accidents and damage promptly and manage insurance claims through resolution.
- Administer fuel and charging cards and investigate unusual or unauthorized charges.
- Manage toll accounts, parking tickets, moving violations, camera citations, and other vehicle-related penalties.
- Determine whether charges are attributable to a guest, employee, or the company and coordinate reimbursement or payment.
- Implement and maintain fleet-management software as the central source of truth for the fleet.
- Monitor rental availability, booking demand, pricing, utilization, revenue, downtime, expenses, and profitability by vehicle.
- Recommend pricing adjustments and strategies for underperforming or aging vehicles.
- Prepare a concise weekly fleet report covering the location, condition, availability, maintenance, claims, expenses, utilization, and performance of every vehicle.
- Recommend when a vehicle should be repaired, repositioned, replaced, or sold.
Required Qualifications
- At least three years of experience in automotive fleet operations, luxury car rentals, dealership operations, automotive service, transportation, or a related field.
- Strong practical understanding of vehicle maintenance and cosmetic condition.
- Experience coordinating repairs and managing automotive vendors.
- Exceptional organization, documentation, and follow-through.
- Ability to manage multiple vehicles, reservations, repairs, vendors, and deadlines simultaneously.
- Professional written and verbal communication skills.
- Confidence working directly with luxury clientele.
- Strong judgment and the ability to solve problems without constant supervision.
- Experience using spreadsheets, scheduling systems, inspection applications, photographs, and reporting tools.
- Valid California driver’s license and a clean driving record.
- Ability to safely operate luxury, performance, electric, oversized, and commercial-style passenger vehicles.
- Availability for occasional evenings, weekends, and urgent vehicle situations.
Preferred Qualifications
- Experience managing luxury, exotic, or high-performance vehicles.
- Experience with Turo or another vehicle-rental platform.
- Rental pricing or revenue-management experience.
- Experience processing automobile insurance claims.
- Familiarity with registrations, warranties, recalls, toll systems, and citation administration.
- Experience implementing or maintaining fleet-management software.
- Knowledge of electric vehicles and charging systems.
- Existing relationships with Los Angeles automotive vendors.
- Hospitality, concierge, or high-end customer-service experience.
Performance Bonus Measures
