Job Summary

The Transportation Specialist – Owner Operator is responsible for supporting the daily operations of the owner-operator fleet by coordinating with dispatch on driver needs, maintaining driver and equipment compliance, scheduling maintenance, preparing settlements, and serving as the primary point of contact for owner operators. This role helps ensure safe, compliant, and efficient transportation operations while supporting fleet performance and customer service.

Duties and Responsibilities

  • Coordinate and support all aspects of the owner-operator program, including:
    • Assisting with the onboarding of owner operators and maintaining contractor qualification files.
    • Maintaining compliance documentation, including insurance, permits, medical cards, licenses, and DOT records.
    • Coordinating maintenance scheduling and supporting owner operators in meeting preventive maintenance requirements.
    • Serving as the primary point of contact for owner operators by coordinating communications, supporting operational efficiency, facilitating issue resolution, and assisting with compliance documentation and regulatory requirements while maintaining productive contractor relationships.
    • Coordinating with owner operators to ensure compliance with contractual requirements, safety standards, and customer service expectations.
    • Preparing owner-operator settlements and maintaining accurate operational records. (Approximately 40% of time.)
  • Perform daily data entry and provide administrative support for transportation operations. (Approximately 10% of time.)
  • Promote safety, accountability, and effective communication to support efficient fleet operations. (Approximately 10% of time.)
  • Assist in developing processes and performance improvement initiatives for all drivers. (Approximately 10% of time.)
  • Investigate and report all Commercial Motor Vehicle (CMV) accidents and incidents to the Director of Transportation and manage all incidents and accidents within Colonial's safety platform. (Approximately 5% of time.)
  • Perform other job-related duties as assigned to support departmental and operational needs. (Approximately 15% of time.)

Education and Experience

  • Minimum of two (2) years of experience with progressively increasing responsibilities in a logistics or transportation environment, or a Bachelor's degree in a related field.
  • Commercial Driver's License (CDL) preferred.
  • Experience using TMT, routing systems, and web-based dispatch applications preferred.

Knowledge, Skills and Abilities

  • Availability to provide driver support by phone during all scheduled work shifts.
  • Proficiency with Microsoft Office applications.
  • Ability to analyze and resolve complex issues in a fast-paced, changing environment.
  • Willingness to participate in an on-call rotation, including evenings, weekends, and holidays.
  • Knowledge of the petroleum transportation industry preferred.
  • Knowledge of DOT regulations, fleet maintenance, and transportation compliance.
  • Strong organizational, communication, and customer service skills with the ability to build positive relationships with owner operators and internal teams.
  • Ability to maintain a flexible schedule, including travel and working weekends, nights, and holidays as business needs require.

Physical Demands

This position requires the ability to sit and stand frequently throughout the workday. The employee must occasionally push, pull, and lift or carry items weighing both under and over 20 pounds. The role may also require walking, bending, reaching, and other routine physical movements associated with supporting transportation operations.
