Job description

We’re Civica and we make software that helps deliver critical services for citizens all around the world. From local to state government, to education, to health and care, over 5,000 public bodies across the globe use our software to help provide critical services to over 100 million citizens.

Our aspiration is to be a GovTech champion everywhere we work around the globe, supporting the needs of citizens and those that serve them every day. Building on 21 years of continuous growth and success, we're at a pivotal point on our journey to realise that aspiration.
Why you’ll love this role of Project Manager

This is not a “business as usual” project management role. It’s an opportunity to lead complex, high-impact initiatives that help transform how customers operate, collaborate, and achieve success.

As a Project Manager, you’ll drive the delivery of medium to large-scale projects across cross-functional teams, customers, suppliers, and partners. You’ll balance strategic thinking with operational execution—bringing structure to complexity while ensuring exceptional customer outcomes.

You’ll work closely with stakeholders across Professional Services and customer organizations, acting as a trusted delivery leader who can align priorities, manage change, and navigate ambiguity with confidence.

If you’re collaborative, commercially minded, and motivated by delivering meaningful outcomes in dynamic environments, this role offers the opportunity to make a real impact while continuing to grow your leadership and project delivery expertise.

Key Responsibilities

• Lead projects through the full lifecycle including initiation, planning, delivery, closure, and transition to support
• Ensure a consistent, high-quality delivery experience that drives customer satisfaction and long-term partnership success
• Develop and manage project plans, schedules, budgets, resource allocations, and delivery milestones
• Lead, motivate, and coordinate cross-functional project teams, suppliers, and external vendors
• Monitor project progress, risks, issues, dependencies, and overall performance against agreed objectives
• Track costs, schedules, quality, and delivery outcomes against approved plans and tolerances
• Communicate project status, risks, decisions, and outcomes clearly to both internal and external stakeholders
• Maintain accurate project documentation, governance, reporting, and delivery records
• Build strong relationships with customers and stakeholders to ensure alignment and shared accountability
• Apply sound judgment and problem-solving skills to navigate ambiguity, complexity, and changing priorities
• Contribute to continuous improvement initiatives and identify better ways of working across project delivery practices
• Promote ethical practices, security, compliance, and data privacy throughout project execution

Requirements

This role is about leadership, ownership, and delivering outcomes in complex environments.

You are likely someone who:

• Thrives in fast-paced, customer-focused environments and enjoys leading projects from concept through delivery
• Communicates clearly and confidently with technical and non-technical audiences
• Can balance multiple priorities while maintaining attention to detail and delivery quality
• Builds strong relationships and collaborates effectively across teams, customers, and partners
• Applies structured thinking and sound judgment to solve problems and manage risk
• Is proactive, adaptable, and comfortable operating in ambiguous or changing situations
• Takes ownership of outcomes and drives accountability across stakeholders and teams
• Enjoys improving processes and finding innovative ways to deliver customer and business value

You may also have:

• Experience managing medium to large projects within Professional Services or customer delivery environments
• PMP certification or equivalent project management qualification
• Experience with financial planning, budgeting, resource management, and delivery governance
• Knowledge of risk management, organizational change, and benefits realization practices
• Experience leading cross-functional or geographically distributed teams
• Familiarity with library industry software, consortium systems, or related operational environments
• Experience working across multiple time zones and global stakeholder groups
• A commitment to continuous learning, professional development, and operational excellence

Benefits

• Choice of PPO or HDHP/HSA medical plans through Anthem Blue Cross Blue Shield

• Employer contributions to Health Savings Accounts (HSA) and Health Reimbursement Arrangements (HRA)

• Dental and vision coverage for employees and families

• Employer-paid basic Life and AD&D insurance

• Voluntary life insurance options for employees, spouses, and dependents

• Short-Term and Long-Term Disability coverage

• Employee Assistance Program (EAP) with confidential wellbeing, legal, financial, and mental health support

• Preventive care covered at 100%

• Telehealth and virtual care options

• Wellness programs, rewards, and digital health tools

• Pre-tax payroll deductions for eligible benefits

• Supportive benefits resources and advocacy services to help you navigate your coverage

At Civica, we are committed to building an inclusive and diverse workplace where everyone feels valued and supported. We believe that a variety of perspectives drives innovation and excellence, and we welcome applicants from all backgrounds, cultures, and experiences.

We are an equal opportunity employer. We do not discriminate based on race, ethnicity, religion, gender, sexual orientation, disability, age, or any other legally protected characteristic. Our recruitment process is designed to ensure fairness and transparency, so every candidate has an equal chance to contribute to our mission.

If you need any adjustments or accommodations to participate in our recruitment process, please let us know. We are here to support you.
The expected salary range for this role is $100,000 - $140,000 USD annually, with final compensation aligned to experience, skills and geographic location
