HOURS: 20 Per Week

REPORTS TO: School of Mission and Theology Dean
BRIEF DESCRIPTION:
The School of Mission and Theology is looking for a part-time office assistant to work alongside the Dean's Office. This position will help with front-facing aspects such as receiving and guiding guests and faculty in the Dean's lobby area. This person will also provide support to the dean, assistant dean and office managers to assist with projects. This position will also help with general event support, group meeting scheduling, and financial paperwork tasks. This person should be highly organized and have the ability to work in a collaborative environment and have the ability to communicate with people of various cultures.
ESSENTIAL FUNCTIONS:
- Assist Dean's office with basic office management such as opening and closing tasks, and keeping a clean and welcoming environment.
- Assist the Dean, Assistant Dean, Faculty Affairs Manager, and Administration and Operations Manager with yearly and special projects
- Assist the Dean and Associate Dean in scheduling group meetings utilizing Google calendar and zoom
- Assist with preparing basic financial paperwork for reimbursement and reclasses under the guidance of the Administration and Operations Manager
- Reserve and prepare conference and event rooms for meetings and connect the proper departments to carry out the event as requested (event production, tech, chairs & tables)
- Keeping the office well stocked with office supplies and maintain office supply inventory
- Oversee Payton printer areas. Ensure that hallways and common rooms are clean, fridges are emptied periodically, and printers are stocked
EVENT SUPPORT:
- Assist in year-round coordinating tasks including room reservations, food ordering/pickup, media, etc.
- Assist with campus access for guests and speakers including parking passes, library access, guest wi-fi codes, maps, etc.
OTHER:
- Provide administrative support in areas such as correspondence, mail, and library requests as needed.
- Assist in assembling and coordinating the faculty and alumni newsletters as directed by the Dean
- Create promotional materials, preparing Excel sheets or PDF files for reports, etc.
- Provide other administrative support as needed as assigned by the Dean, Faculty Affairs Manager and Administration and Operations Manager
QUALIFICATIONS:
- Strong organizational skills and ability to self-pace and keep deadlines when working on multiple short-term and long-term projects.
- Able to follow-through and follow-up on all tasks.
- Word-processing skills; advanced proficiency with MS Word, Excel, Adobe Acrobat, Google Docs, Google Suite and Canva; interest and ability to enhance computer skills
- Cross-cultural sensitivity and respect; able to communicate with people of various cultures
- Capacity to maintain a high degree of confidentiality.
- This is not a hybrid or remote position and will be based at the Pasadena campus.
PHYSICAL REQUIREMENTS:
- Moderate carrying in preparations for events; less than 15 lbs
ADDITIONAL REMARKS:
- If you are a current student, you can begin employment immediately. If you are a new incoming student for the 2026-27 academic year, start date would be the end of September.

PAY SCALE:
- Hourly rate the seminary expects to pay: $19.00 per hour USD
