Operations Coordinator Job Description
Pacific Southwest Container, LLC is a world-class, ISO 9001 manufacturer of custom packaging. We are a market leader in the design and conversion of corrugated, folding carton, single-face lamination, foam protective packaging and point-of-purchase displays. Our facilities in Modesto and Visalia serve a wide variety of end use customers who value creativity, flexibility, speed to market and best total system cost. The Operations Coordinator will provide administrative support for the Operations, Safety, and HR team which will encompass different aspects of the business.
Administrative Responsibilities
  • Organize CompanyWide Meetings including coordinating tent, NTM productions and coffee vendors. Ensure snacks/drinks, décor, pens and cards are ordered and set out. Coordinate setting up/teardown of meetings. Coordinate company vehicle drop off at airport
  • Coordinate and plan Visalia yearly Company Picnic including booking, paying, scheduling and obtaining required documentation from vendors. Order all supplies/decorations/drinks needed. Order and distribution of Team Member shirt orders. Responsible for set up and tear down of event
  • Culture Club sponsored events such as sock drive, canned food drive, school supplies drive, coordinate Turkey Trot event with VEAC, and Giving Tree
  • Assist with Team Member Appreciation event with set up/teardown, ordering Canteens gift cards, placing snack orders and ensure all other required items are set up
  • Handle service calls and meetings with water/coffee vendor, Micro Market, Employe America, janitorial vendor (including emailing weekend schedule), first aid/supply vendor and photocopier vendor amp; review/approve/deny vendor invoices weekly
  • Replenish Team Member Gatorade and ice pops in break room when over 90 degrees outside
  • Placing and picking up food orders, including monthly birthday cakes
  • Place monthly fruit baskets for each shift in breakroom amp; coordinate sending fruit baskets back to Leckron
  • Coordinate Team Member luncheons including booking vendors, ordering drinks/desserts, set up and teardown
  • Order flowers for Team Members as needed
  • Collect, sort and distribute incoming and outgoing mail and packages daily
  • Inventory stock of office supplies and paper supply weekly. Place order through Kactys as needed to ensure inventory minimum/maximum levels are maintained. Order Team Member water bottles, cooling towels, Gatorade, Ice Pops and restock all supplies once delivered
  • Set up/teardown holiday décor in office and breakroom
  • Track Safety Alerts for Supervisors ThruPut Target
  • Organize and maintain AIB Binder
  • Performs other duties as assigned
Safety Responsibilities
  • Make copies of Safety Folders and maintain sufficient quantities in office
  • Print and post Safety Committee Meeting minutes
  • Distribute safety prizes to winners from Safety Raffle
  • Coordinate Safety Lunches including set up/teardown and booking vendors (ordering prizes if 360 BBQ)
  • Distribute shoe orders to Team Members and assist with Expense Reports related to shoe reimbursement
  • Coordinate Annual Hearing Tests including posting schedule, tracking attendance, rescheduling missed appointments and retests
HR Duties/Responsibilities
  • Conduct or assist in employee new hire orientation and the communication of employee benefits. Respond to routine questions and inquiries
  • Prepare new hire packets, orientation materials, benefit packets and other employee communications for distribution
  • Assist with HR daily processes including coordinating with Talent Acquisition Manager on recruiting, testing, interviewing amp; selection process, ensure legal compliance regarding applicant tracking, and provide administrative support for all HR recruiting events.
Required Skills/Abilities:
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent organizational skills and attention to detail.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.
Education and Experience:
  • Bachelor’s degree in Business Management, Operations, or related field preferred
  • 1 year of administrative or event planning experience required
  • Experience working at a manufacturing company preferred
  • Experience managing projects and problem solving
  • Effective and deliberate communication skills, both verbal and written
  • Ability to maintain confidentiality and good judgment when handling sensitive information
  • Proficiency in MS Office applications (Word, Excel, PowerPoint, etc.)
  • Experience with Paycor or other HRIS, Paycor Recruiting, and Paycor Learning Management System preferred
  • Demonstrated ability to effectively multi-task with a strong sense of urgency
  • Ability to deal with ambiguity and change in a dynamic business environment
  • Ability to work independently
  • Desire and commitment to learn and grow within the organization while always maintaining a positive attitude
