The Opportunity

The Administrative Assistant provides day-to-day administrative support to the C-Suite and Corporate Services executives while serving as the front desk and first point of contact for the Executive Office. This role coordinates routine administrative activities, supports office operations, and helps ensure professional and welcoming experience for visitors and employees.

The ideal candidate is highly organized, dependable, and service-oriented, with strong communication and interpersonal skills, attention to detail, and the ability to manage multiple administrative priorities while maintaining professionalism and confidentiality.

Key Responsibilities

Scope of Role 

The Administrative Assistant provides front desk and general administrative support to the Executive Office. Responsibilities include greeting and announcing visitors, coordinating international travel for the CEO, CFO and Chief General Council and providing light administrative support to Corporate Services executives.

  • Book domestic and international travel arrangements, dining reservations, and select calendar meetings for the C-Suite.
  • Prepare and process expense reports for C-Suite and other Executive as requested. 
  • Reserve conference rooms and coordinate meal orders for meetings.
  • Greet and announce visitors to the Executive Office and provide general front desk coverage.
  • Coordinate IT support requests and maintain designated office supplies.
  • Assist with office events and provide administrative coordination for executive and board meetings.
  • Perform general and ad hoc administrative duties as assigned.
  • Maintain and safeguard strict confidentiality when handling sensitive or business-related information.

Requirements

  • Associate degree required; bachelor's degree preferred.
  • 5+ years of administrative, office support, and receptionist experience
  • Strong organizational skills, attention to detail, and the ability to manage multiple priorities.
  • Ability to work independently, take initiative, exercise sound judgment, and follow through on assigned responsibilities.
  • Strong professional communication, interpersonal, and customer-service skills.
  • Ability to interact professionally with employees, visitors, and senior leaders.
  • Proficiency with Microsoft Office Suite, Microsoft Teams, Outlook calendar management, virtual meeting platforms, and Docusign.
