We are seeking a Client Support Specialist who will be the first point of contact for clients and play a key role in ensuring a positive, seamless experience throughout their care journey.

Position Summary

The Client Support Specialist is responsible for delivering exceptional customer service to new and existing clients, managing administrative and front-office duties, and supporting the daily operations of the practice. This role requires strong communication skills, attention to detail, and the ability to maintain professionalism and confidentiality in a mental health setting.

Key Responsibilities Client Support & Communication
  • Serve as the primary point of contact for clients via phone, email, and in person.

  • Provide warm, empathetic assistance to clients seeking information about services, scheduling, or general support.

  • Guide new clients through the intake process, including paperwork, insurance verification, and appointment setup.

  • Respond promptly to inquiries and follow up as needed to ensure a positive client experience.

Scheduling & Coordination
  • Manage clinician calendars and schedule appointments efficiently.

  • Communicate schedule changes or cancellations to both clients and clinicians.

  • Coordinate telehealth links and ensure clients are prepared for virtual sessions.

Administrative Duties
  • Assist with maintaining electronic health records and ensure accurate documentation.

  • Verify insurance benefits and assist clients with understanding coverage and payment options.

  • Process payments, maintain billing records, and support insurance claims when needed.

  • Support office organization and ensure a clean, welcoming environment.

Practice Operations Support
  • Assist with onboarding tasks for new staff as needed.

  • Collaborate with the team to improve workflows and enhance client experience.

  • Maintain strict confidentiality in accordance with HIPAA and practice policies.

Qualifications Required:
  • High school diploma or equivalent; associate or bachelor's degree preferred.

  • 1+ years of experience in client service, administrative support, or a similar role.

  • Strong communication and interpersonal skills with a client-centered approach.

  • Proficiency with scheduling systems, EHR software, or ability to learn.

  • Excellent organizational skills and attention to detail.

  • Ability to multitask in a fast-paced environment.

  • Commitment to confidentiality and professionalism.
