Your specific responsibilities: The incumbent provides services for the Women Infant Children (WIC) Program in accordance with DHM 150‑24, and the FL‑WISE User's Manual. Incumbent is responsible to follow and adhere to all rules, regulations, policies, and procedures of the Florida Department of Health (FL‑DOH) and the WIC and Nutrition Program. The incumbent in this position will have the authorized "need to know" access to confidential WIC client records, and the FL‑WISE data system. Assignments of duty station, hours and days worked may vary based on agency/unit needs. Incumbent will have access to records containing social security numbers in the performance of job duties. The incumbent of the position will work with a diverse population and will deliver services in English/Spanish or English/Creole or English/Spanish/Creole. The WIC Centralize Person of the Day (CPOD) will be responsible to provide support for all issuance appointments over the phone. Interviews and screens participants for demographics and WIC income eligibility. Completes required FL‑WISE Computer System screens, temporary certification and ineligibility forms, and upload documents queues. Assist WIC clients with the WIC App and Tele WIC appointments. Can assist with unit reports such as Pending Certification Report and client Client's Eligible for Benefits Report on demand as assigned by the supervisor. Maintain open line of communication with CAS supervisor and unit supervisor related to client's related issues and updates. Independently interviews, assesses, and screens existing and potential WIC participants and completes the client's Precertification screen, verifies client status, schedules and reschedules client appointment. Ensures appointments are scheduled correctly by site, service code, date, and time. Ensures clients receive earliest appointment in accordance with WIC client processing standards. Communicates concerns regarding local site appointment availability to Central Appointment System supervisor, unit supervisor and management as appropriate. Refers calls to WIC local units, site supervisors, health department services, or community agencies as appropriate. Answers calls professionally by using departments opening and closing statements. Answers and processes all incoming calls by the third ring as per DOH‑Miami‑Dade County Policy, and efficiently. Communicates effectively with clients in their native language. Provides information and WIC related services as requested. Maintains daily departmental call volume, quality, and productivity goals. Interacts appropriately and professionally with both internal and external customers, clients, vendors and the public. Serves as front desk receptionist, and as DOH‑Miami‑Dade‑County information line operator as assigned. Demonstrates customer service excellence. Accurately operates and navigates FL‑Wise System. Browses appropriate screens to ensure that duplicate electronic files are not created, documents and reports duplicates found as required. Accurately enters and updates client precertification information, ensures mothers and infants are linked together with mother's family ID number, and enters breastfeeding and formula status in precertification screens. Navigates and reviews client information such as issuance records, and client Benefits Valid Through (BVT) dates, verifies certification status and alert/notes screens, as required. Inputs appropriate comments pertaining to clients financial, health, concerns, and /or requests in the Client Alert or Note screen. Responsible to call all the potential clients interested in the WIC program referred by the Healthy Start Coalition of Miami and other WIC partners. Instruct clients on what to bring to WIC appointments such as medical referral, income documentation, immunization cards, social security card, child and/or other approved documentations. Provides proper WIC program Breastfeeding and/or DOH‑Miami‑Dade County Department referrals as required. Instructs participants on rights and obligations, program policies and procedures. Provides vendor list when requested. Attends all WIC Program, Florida Health in Miami Dade County, Florida Health and other meetings or conferences as assigned. Participates in mandatory meetings and in‑service trainings. Participates in Outreach activities including not limited to scheduling and rescheduling client appointments, and other outreach activities as assigned. Determines if WIC or potential WIC participants have special requirements (i.e. special formula, deaf services interpreter, or other foreign language interpreter) and schedules required service appointments accordingly. Mails WIC referral forms, eligibility forms, and other program information, directs clients to DOH Miami Dade County and WIC internet as appropriate. Initiate customer complaints / inquiries into DOH Miami Dade County footprints data base. Verifies site to site, agency to agency, and out of state VOC client transfers. Ensures clients are transferred electronically to appropriate local sites as required. Contacts appropriate out of state WIC offices to confirm client certification status and schedules client transfer appointment. Ensures accurate completion and timely submission of all administrative records including but not limited to: Employee Activity Records (EARs), timesheets, leave requests, travel, ServFL, TRAIN‑Florida, etc. Email communications must be maintained on a daily basis. Performs all other duties as assigned.

Required knowledge, skills, and abilities: Knowledge of and ability to operate an automated telephone system. Ability to analyze data, solve problems independently and complete arithmetic calculations. Ability to be discrete and maintain strict confidentiality. Ability to communicate verbal information effectively to individuals and/or group of individuals. Ability to enter data quickly and accurately into computerized database. Ability to establish and maintain effective working relationships with others. Ability to get along well with people. Ability to initiate, work independently, highly organized and attentive to details. Ability to interview clients. Ability to plan, organize and coordinate work activities. Ability to understand and apply applicable rules, regulations, policies and procedures. Ability to use WIC Data System proficiently. Knowledge of correct grammar. Ability to operate general office equipment.

Qualifications: Minimum - Experience interviewing individuals to obtain demographic or other confidential information. Customer service experience. Preferred - The incumbent in this position is preferred to be fluent in English/Spanish, English/Creole, or English, Spanish and Creole.
