The Temporary Academic Records and Registration Coordinator provides critical operational support to the Registrar's Office during the implementation of a new Student Information System (SIS). This two-year, full-time position serves as backfill for existing staff members who are participating in the implementation project or assuming additional project-related responsibilities.
The incumbent will support academic records, transfer credit evaluation, study abroad processing, course management, registration activities, and consortium enrollment processes. The position requires strong attention to detail, excellent organizational skills, and the ability to interpret and apply academic policies and procedures.
Job Description
Primary Job Responsibilities
Study Abroad and Transfer Credit Processing
- Review documentation for students who have completed coursework through approved study abroad programs.
- Evaluate foreign transcripts and convert approved grades to institutional equivalent grades in accordance with established policies.
- Record approved study abroad coursework and grades in the student information system.
- Create course records as needed to facilitate the posting of approved transfer and study abroad credit.
- Schedule and assign approved courses to student records following departmental and faculty review.
- Coordinate enrollment processes for students participating in the Worcester Consortium.
- Process registrations for Holy Cross students taking courses at consortium institutions.
- Facilitate enrollment and registration of consortium students attending Holy Cross courses.
- Maintain accurate records and ensure compliance with consortium policies and procedures.
- Communicate with partner institutions regarding registration, enrollment status, and academic records.
- Review requests from students seeking approval to take winter or summer courses at other institutions.
- Verify institutional accreditation and eligibility for transfer credit consideration.
- Evaluate proposed coursework to ensure it meets minimum contact-hour requirements and aligns with liberal arts curriculum standards.
- Process approvals and maintain appropriate documentation of decisions.
- Communicate requirements, decisions, and follow-up information to students and academic departments.
- Maintain accurate student academic records and ensure data integrity.
- Assist with course creation, scheduling, and registration-related processes.
- Respond to inquiries from students, faculty, and staff regarding registration, transfer credit, study abroad coursework, and academic records.
- Prepare reports and documentation as requested.
- Support other Registrar's Office operations as needed to ensure continuity of services during the SIS implementation project.
- Assist with creating the semester final exam schedule.
- Assist with proofing of semester schedules prior to the schedule being released.
- Assist with adding and updating reserved seats for courses.
- Assist with end to end testing of student services.
- Assist with training students on enrollment and other student functions of Workday.
- Bachelor's degree or equivalent combination of education and experience.
- Demonstrated administrative experience in higher education, academic records, registration, student services, or a related field.
- Strong attention to detail and ability to accurately manage complex records and data.
- Excellent organizational, analytical, and problem-solving skills.
- Effective written and verbal communication skills.
- Proficiency with Microsoft Office applications and database or student information systems.
- Ability to interpret and apply academic policies and procedures while maintaining confidentiality.
- Experience working in a Registrar's Office or academic administration environment.
- Knowledge of transfer credit evaluation, study abroad programs, and student records management.
- Experience with student information systems and data-entry processes.
Additional Information:
This is a full-time, temporary two-year position designed to support continuity of operations during the implementation of a new Student Information System. The position works closely with Registrar's Office staff, academic departments, students, faculty, and external partner institutions.
The hourly range for this position is $27.00 $32.00/hour.
