Job description

Position Summary:
Administrative Assistants - Temporary Shelter Closure play a key role in supporting the efficient completion of shelter closure activities. Responsibilities may include, but are not limited to, organizing and processing client and agency records in both electronic and paper formats, as well as managing and documenting inventoried supplies and other program materials.
This is a temporary position that will remain active until all shelter closure activities have been completed, program funding changes, or program authorization is terminated, whichever occurs first. The ideal candidate is organized, detail-oriented, and committed to ensuring a smooth and compliant closure process.
Essential Duties:
• Interact with team members, supervisors, vendors, and contractors maintaining strict confidentiality in all aspects of client, staff and agency information.
• Perform general duties to include, but not limited to, scanning, copying, sorting, boxing, filing, mailing, palletizing, answering phones, and data input.
• Collaborate with departments to ensure efficient cross-functional communication.
• Managing incoming and outgoing records and shipments.
• Manage office supplies, equipment, and facilities, coordinating with vendors as needed.
• Managing office systems, including filing systems, databases, and spreadsheets.
• Assist in coordinating logistics for meetings and events and attend as needed.
• Assists with additional duties and tasks that arise based on agency and program needs.
Requirements
Minimum Qualifications:
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook.)
• Excellent organizational and time-management skills.
• Strong communication and interpersonal abilities.
• Ability to work independently and as part of a team.
• Ability to juggle multiple projects and duties with superb accuracy.
• Strong organizational skills with the ability to manage multiple tasks and deadlines.
• Exceptional customer service skills, over the phone and in person, with our customers and internal departments.
• Strong sense of urgency, problem-solving skills, self-motivated and self-starter.
• Excellent verbal and written communication skills are required.
Must be able to operate standard office equipment and be computer literate. Applicant should possess excellent verbal, written, analytical and problem-solving skills. Must be able to communicate effectively and follow both oral and written instructions.
Additional Requirements
Must have and maintain a working vehicle, a valid, unrestricted California driver's license and current vehicle insurance.
Salary Description
$18.39 - $25.00 per hour.
