Job description

The Archdiocese of St. Louis strives to teach and share our faith, serve others, and foster unity throughout the St. Louis area. Once a part of Kenrick-Glennon Seminary's campus, the Cardinal Rigali Center in Shrewsbury, MO is today the headquarters and curia (governing body) for the Archdiocese of St. Louis.
Job Summary
This position is responsible for greeting all guests to the Kenrick Glennon Seminary, issuing proper credentials for visitors, answering the phone and directing general inquiries to the proper department or personnel. This position provides operational support through various responsibilities including mail, petty cash, credit card allocations, payroll, expense reporting, accounting statement reconciliation, filing, copy and fax services. This position provides administrative assistance to various departments.
Job Responsibilities

  • Greet all visitors to the building upon arrival and assist them with directions to their proper location or inquiries and issue temporary passes when needed.
  • Answer the phone, provide information for simple questions or transfer calls to the appropriate department or person.
  • Provide mail services to include, post office pickup, sorting, distributing, package distribution, preparing packages and envelopes for mailing and delivering outgoing mail to post office at end day.
  • Supply postage stamps (order from USPS online) or metered mail for students and collect money owed.
  • Assist staff and students with copy, fax, scan and other general clerical duties as needed.
  • Perform monthly Archdiocesan credit card allocations.
  • Take inventory and purchase office supplies - COUPA
  • Monitor Emergency Alert Systems (Intruder, Weather, Security Cameras)
  • Schedule all guest room and seminarian guest room requests.
  • Coordinate guest room and seminarian guest room usage in collaboration with House Keeping and Student Guest Room Master.
  • Coordinate/schedule Meeting Rooms usage, Seminary Tour requests, and summer Pool reservations.
  • Serves as an administrative assistant to the Director of Worship, the Director of Operations and Finance as well as the Director of Spiritual Formation.
  • Shared responsibilities with Director of Operations and Finance on bi-weekly payroll, monthly expense reports, accounts payable, and revenue/expenditure reconciliation.

Job Requirements
Knowledge and Experience Requirements:
  1. Over 1 year experience as a receptionist/administrative assistant or other public contact / assistance capacity.
  2. Exceptional English language writing skills for completion of various written assignments including correspondence letters.
  3. Basic proficiency in Microsoft Office Suite (Excel, Word, and Outlook)

  2. Maintain confidentiality of all information related to a business or personal nature that is shared or acquired during the course of your work.
  3. An appreciation of the significance of the Kenrick Glennon Seminary.
  4. Good interpersonal skills and ability to work well with others are essential.
  5. Sufficient manual dexterity to be able to operate all office equipment including computers, printers, copy machine and telephone.
  6. Ability to work independently with minimal supervision and prioritize daily tasks.
  7. Must be able to communicate through written, telephone and personal interactions with a positive and understanding attitude.
Relationships Requirements:
  1. Must be willing to change tasks as needs arise throughout the day.
  2. Positive in all interactions with staff, faculty, seminarians and visitors to the facilities is essential.
  3. Must be responsive to the Director of Operations and Finance and other staff at all times.
  4. Must keep the Director of Operations and Finance apprised of any situations that could result in disruption to operations at the Kenrick Glennon Seminary.
