About the Role
We are looking for a reliable, detail-oriented Temporary Administrative Assistant to support daily office operations at our Warrendale, PA location. This is a great opportunity for someone who enjoys variety in their workday, has strong organizational instincts, and takes pride in being a warm, professional first point of contact for visitors and staff alike. This is a fully onsite, temporary position expected to run 3-6 months, with the possibility of extension based on business needs.
What You'll Do
Document & Correspondence Support
  • Prepare, format, and proofread documents using Microsoft Word, ensuring a polished and professional presentation
  • Manage incoming and outgoing email correspondence in a timely and organized manner
  • Draft, format, and help distribute company newsletters and internal communications

Front Office & Visitor Relations
  • Serve as the first point of contact for visitors, clients, and vendors, providing a warm and professional welcome
  • Answer and direct phone calls and inquiries as needed
  • Maintain a clean, organized, and presentable front office/reception area

Office & Supply Management
  • Monitor office supply inventory levels and coordinate reordering to prevent shortages
  • Track incoming deliveries and ensure supplies are properly stocked and organized
  • Maintain organized filing systems, both physical and digital

Meeting & Administrative Support
  • Coordinate meeting scheduling, including calendar management and room/resource booking
  • Prepare meeting materials, agendas, and handouts in advance
  • Take accurate notes and minutes during meetings as requested
  • Provide general administrative support to team members and leadership as needed

Onboarding Support
  • Assist in preparing onboarding materials and welcome packets for new employees
  • Support the coordination of new hire paperwork and orientation logistics
  • Help ensure a smooth and organized onboarding experience for incoming staff
What We're Looking For
  • Previous experience as an administrative assistant, office coordinator, or in a similar support role required
  • Strong organizational skills with proven ability to manage filing systems (digital and physical)
  • Proficiency in Microsoft Word and comfort managing professional email correspondence
  • Experience assisting with newsletters or internal communications preferred
  • Excellent interpersonal and communication skills, with a professional and friendly demeanor
  • Strong attention to detail, particularly in inventory tracking and meeting logistics
  • Ability to multitask and prioritize in a dynamic office environment
  • Experience preparing onboarding materials or supporting new hire processes is a plus
  • Must be dependable, punctual, and able to work onsite for the full duration of the assignment
