Department: Service Operations

Position Overview

We are seeking a dependable, organized, and customer-focused HVAC Dispatcher to join our team. This position plays a vital role in keeping our service department running efficiently by coordinating technicians, communicating with customers, managing service agreements, and providing administrative support to ensure exceptional service.

The ideal candidate is a strong communicator who can multitask in a fast-paced environment, prioritize changing schedules, and provide excellent support to both customers and field technicians.

Responsibilities

Answer incoming phone calls and provide professional, friendly customer service

Schedule and dispatch HVAC service calls and maintenance appointments

Communicate with customers regarding appointments, service updates, and follow-ups

Place outbound calls to customers, technicians, and vendors as needed

Coordinate technician schedules and ensure efficient routing of service calls

Manage and maintain HVAC service contracts and maintenance agreements

Track contract obligations, renewals, and customer service needs

Assist with customer inquiries, service concerns, and general problem resolution

Maintain accurate customer records and service documentation

Assist with invoicing, paperwork, and administrative tasks related to service operations

Communicate effectively with technicians, management, and office staff

Support daily office operations and assist with any additional duties required to help the team succeed

Qualifications

Previous HVAC dispatch, customer service, or administrative experience preferred

Excellent communication and organizational skills

Ability to multitask and prioritize in a busy environment

Strong attention to detail and problem-solving skills

Professional phone etiquette and customer service skills

Ability to work independently while being a supportive team member
