Position Summary

The Administrative Assistant serves as the primary in-person contact for the Success Through Well-Being suite, providing the Success Through Well-Being unit with administrative and office support.
Responsibilities
  • Coordinate all aspects of daily office operations and supporting with administrative functions within the Success Through Well-Being suite/unit including, but not limited to, greeting visitors, offices and common areas (including the Columbia Athletics Fueling Station), coordinating calendaring, meetings, and agendas, and reserving facilities and meeting spaces, as needed, and maintaining and preparing communication templates, weekly correspondence, databases, records (i.e Lions Cup, career development activity sheet, STWB weekly email, etc.).
  • Assist with the administrative coordination of the Success Through Well-Being casual workers and student-athlete tutoring program including, but not limited to casual worker recruitment, onboarding, and scheduling, payroll reconciliation, facilitating student-athlete tutor requests, and receiving and responding to any related questions from prospective/current casual workers and student-athletes.
  • Assist with financial administrative requests, payments, invoices, reimbursements, collection of funds, and deposits (Student-Athlete Assistance Fund, awards, programs/events, etc.)
  • Assist with administration of the Department's participation awards and gifts including, but not limited to, ordering, inventorying, coordinating distribution, and maintaining accurate records of disbursement.Supports Assistant Athletics Director for Success Through Well-Being with administrative tasks related to Department awards.
  • Assuming other responsibilities and providing support as required by the Director of Intercollegiate Athletics and Physical Education, the Deputy Athletics Director, Senior Woman Administrator, the Associate Athletics Director for Success Through Well-Being, and the Assistant Athletics Director for Success Through Well-Being

Minimum Qualifications
  • High School diploma or its equivalent required. Minimum of three years' related experience required.
  • Excellent organizational, interpersonal, oral and written communication skills, including active listening skills, required.

Preferred Qualifications
  • Ability to interact tactfully, confidently and courteously with a multitude of customers.
  • Proficient in Microsoft Office (Word, Excel, Outlook) Experience in a fast paced environment.
  • Ability to handle a variety of simultaneous activities, attention to detail, and ability to follow through are a must.
  • Ability to learn, understand, and utilize various technological applications.
