THE ROLE:
We are seeking a Senior Accountant to serve as the primary owner of Hartbeat's Procure to Pay (P2P) process supporting development, production, acquisition, licensing, distribution as well as corporate operations. This Senior Accountant role will report to the Controller.
Please note: This is a hybrid role. Hartbeat is in-office 4 days per week, with Tues - Thurs being the core in-office days. Employees have the flexibility to choose between Monday and Friday being their 4th day in office, with the 5th day being their choice based on their preference and personal needs. Our office is located in West Hollywood.
RESPONSIBILITIES:
Responsibilities
โ€ข A/P and Opex Management:
  • Own full end to end A/P payables activities within the P2P process, including: reviewing new bills and vendor requests for reasonableness against project and Opex budgets and business needs, confirming with internal business unit stakeholders as needed for approvals, coding approved bills into the Netsuite AP system and GL with project tagging, managing vendor set up and change management for banking details and proper agreed upon payment terms, ensuring P2P policies are followed (valid W-9 obtained and active agreement in place for goods and services), maintain vendor filing cabinet and master data sheet with terms and 1099 details, ensuring accuracy of weekly
  • A/P file of bills to be paid within payment term due dates, and ensuring bills are paid timely during weekly AP run schedule following Controller/CFO approval.
  • Support the A/P process with detailed project budget and OpEx review and perform a monthly BvA against Opex budget for key spend categories (T&E, Professional Services, Tech subscriptions, Marketing, and other overhead costs) to ensure bills received are in line with departmental and project budgets and company needs. Obtain departmental approval for Opex and project spend within the budgets and flag to leadership any excess spend or spend that is not consistent with historical actuals or expected budgets.
  • Oversee and manage the accounting mailbox for A/P, billing, tax, vendor setup, and other general accounting needs and coordinate with rest of the accounting and finance team as needed based on the email traffic

โ€ข Cashflow tracking and Month End Close:
  • Record cash disbursement journal entries weekly and prepare weekly cash sheet
  • Prepare monthly bank recs for all bank accounts as part of month end close.
  • Perform preparation tasks within month-end-close checklist including maintaining updates and booking all journal entries related to the company's Fixed Asset registers (office equipment, production equipment, etc.), Prepaids, Accrued Liabilities, and Content Asset accounts.
  • Prepare monthly reconciliations and roll-forwards for related Balance Sheet accounts.
  • Assist in preparation of audit and tax compliance schedules and related sampling requests under direction of the Controller

โ€ข Production Accounting Coordinator:
  • Collaborate with the Production Accounting Director to track project status, assist in production reconciliation and create and track billbacks, as needed.
  • Perform Production Accounting coordination duties supporting the Production Accounting Director, including assisting with set up of production bank accounts, vendor setup/change management for production projects (within Greenslate), preparing internal billback invoices and manage billback tracking and reconciliation between production and Netsuite corporate accounting
  • Contribute to exciting ad hoc projects and accounting system implementations as needed

EXPERIENCE & SKILLS:
  • Bachelor's degree in accounting, finance, business or related field
  • 5 years of accounting experience (entertainment industry experience preferred)
  • Advanced Excel (vlookups, pivot tables, etc.)
  • ERP experience (NetSuite, Green Slate, Ramp, Shared Drive or equivalent experience is a plus)
  • Working knowledge of US GAAP
  • Ability to communicate and collaborate effectively and professionally across Hartbeat departments
  • Excellent attention to detail and willingness to take initiative as a self-starter and team-player
  • Strong problem solving skills and a solution-oriented mindset
  • Exceptionally organized and proactive with demonstrated success working in a fast-paced environment.

COMPENSATION
Actual compensation within the pay range will be decided based on factors including, but not limited to, skills, competencies, prior relevant experience, and work location. Base pay is one part of the Total Package that is provided to compensate and recognize employees for their work, and this role may be eligible for additional discretionary bonuses and incentives.
