POSITION SUMMARY:

An experienced Project Coordinator with 1 to 2 years of hands on experience supporting project planning, logistics, and execution. This role plays a key part in coordinating timelines, managing communication, and ensuring smooth delivery of projects across departments. Preference is given to candidates with experience in tourism, hospitality, or event management, where fast-paced coordination, stakeholder engagement, and on site support are essential. The ideal candidate is detail oriented, proactive, and comfortable juggling multiple priorities while maintaining exceptional service standards.

JOB DUTIES AND RESPONSIBILITIES:

  • Coordinate meetings, prepare agendas, and document meeting outcomes and action items
  • Track project progress and prepare regular status reports
  • Maintain organized project documentation, including contracts, permits, and correspondence
  • Monitor project expenditures and assist with financial tracking and reconciliation
  • Assisting with RFP/RFQ processes, and tracking contract approvals
  • Facilitate interdepartmental coordination to ensure project alignment
  • Ensure proper records management in accordance with public records laws and retention policies
  • Provide administrative and operational support to project managers and leadership as needed
  • Communicate with suppliers, venues, and service providers to ensure timely delivery of services

JOB QUALIFICATIONS:

  • 1 to 2 years in project coordination, administrative support, or operations.
  • Ability to communicate proficiently in English both verbally and in writing.
  • Bachelor’s degree in business, hospitality, tourism, communications, or related field preferred
  • Strong written and verbal communication with the ability to interact professionally with clients, vendors, and internal teams
  • Proven ability to manage multiple tasks, deadlines, and shifting priorities
  • Comfortable with project management tools, CRM systems, and Microsoft Office Suite
  • Experience working in client facing or guest facing environments

WORKING CONDITIONS / ESSENTIAL FUNCTIONS:

  • May work near moving mechanical parts.
  • May be exposed to various temperatures inside the building and outside the building, airborne particles, and fumes.
  • The noise level in the work environment is usually moderately quiet while in the office, or moderately noisy when in the field.

PHYSICAL REQUIREMENTS:

  • Sit, Stand, walk, squat, bend (at neck and waist), twist, reach above & below shoulder level as needed during the shift.  
  • Simple grasping as well as repetitive use of hands and fine hand manipulation are needed to accomplish essential functions. 
  • Frequently required to talk or hear.
  • The employee is occasionally required to climb or balance, stoop, kneel, and crouch.
  • Specific vision abilities required include close, distance, color, and peripheral vision, depth perception, and the ability to adjust focus.  
  • Lift up to 15 lbs. on an occasional basis.
