DataForce by TransPerfect is seeking a motivated Receptionist/Scheduler to join our team for a full-time, temporary data collection project in San Jose, CA!

This is an exciting opportunity to be part of an innovative project to improve Artificial Intelligence and technology.

Role Summary

As a Receptionist/Scheduler, you will serve as the primary point of contact for participants and their pets throughout the study experience. You will communicate with pet owners to schedule appointments, answer study related questions, and coordinate participant attendance. During onsite visits, you will welcome participants and their cats and dogs, verify required documentation, provide study instructions, and help maintain a clean, organized, and pet-friendly environment.

Role Responsibilities - Scheduler

  • Manage and coordinate participant scheduling for study appointments according to project requirements

  • Handle phone calls, emails, and inquiries with professionalism 

  • Perform general administrative duties including data entry, filing, and preparing materials 

  • Liaise with onsite study staff to ensure smooth participant flow and efficient operations 

  • Uphold confidentiality and ethical standards of the study

Role Requirements - Receptionist

  • Manage participant arrival and departure at the onsite location through scheduling software

  • Ensure the site remains clean, organized, and pet-friendly, supporting a safe and welcoming environment for all pets and participants

  • Confirm that participant information is logged correctly

  • Guide each participant from project inception to completion, while distilling the purpose of the study

  • Ensure accurate and up-to-date information through transparent and clear communications

  • Facilitate project changes for scheduling and resource planning

  • File data collection project documentation when appropriate

  • Provide ongoing support and information to participants

  • Treat participants with the utmost level of care and professionalism

  • Responsible for the site setup and teardown activities, ensuring all event spaces, equipment, and materials are prepared and dismantled efficiently and according to operational standards

  • Ability to lift up to 45 lbs when needed
