Job Title: Administrative Assistant II
Location: Florham Park, NJ 07932
Hybrid; T/W/TH onsite & M/F remote
Contract: 1 year, temp to hire pending business need and candidate fit
Pay Rate: $22/hour

Must Have:
  • 2-3 years experience
  • Calendar management
  • Expense, travel arrangements and meeting support
  • Engaging and outgoing personality

Job Responsibilities:
  • Provides general administrative support to the organization. May provide back up support to higher-level management as needed.
  • Maintains and manages calendars, including scheduling meetings and proactively identifying and resolving scheduling conflicts.
  • Coordinates domestic and international travel arrangements and processing of corresponding expense reports.
  • Uses intermediate to advanced software skills to perform assigned work. Uses and understands Client Office Suite and other business-specific software, including Corporate Travel website and other programs.
  • Coordinates new employee onboarding.
  • Responsible for compliance with applicable Corporate and Divisional Policies and procedures. Follows purchasing and requisition procedures, Corporate Security and Privacy Rules, Corporate Branding Guidelines, and Copy Center procedures (if applicable).
  • Coordinates and maintains departmental files, as assigned, in compliance with corporate and government regulations.

Educational requirements:
  • High School diploma or equivalent. Some college preferred.
  • 1+ years previous admin experience or equivalent.
  • Intermediate to advanced knowledge of Client Office Suite, Outlook, SharePoint, and understanding of business processes and requirements.
  • Self-starter able to function at a high level with general instruction and supervision.
  • Builds strong relationships with peers and cross-functionally.
  • Team-oriented, can-do attitude and desire to be productive contributor to overall organization.
  • Learns quickly and can change course quickly when needed.
Requires proficiency in two to three vendor software programs. Provides support to one or two department managers and their staffs. Duties may include: word processing, editing existing documents, keying information into existing templates, database upkeep. Previous clerical experience is necessary. Moderate to minimal supervision is provided.
