Sandvik Mining is looking for a Service Administrator in Elko, NV
This professional would have experience working in an industrial setting with a background in inventory or office administration. As Service Administrator, you will set up jobs for the Field Service Team and enter, track, and expedite all Field Service Work in Progress (WIP) orders.

Business area Mining is a global leading supplier of equipment and tools, parts, service, digital solutions and sustainability-driving technologies for the mining and construction industries. Applications include rock drilling, rock cutting, loading and hauling, tunneling and quarrying.
The Service Administrator will be an in-office role requiring 5 days in office in Elko, NV.
Key Responsibilities:
Work Order Management
  • Open field service jobs for billable work, warranty work, and other areas of Parts & Services (P&S)
  • Open work orders for new units; PDI (pre-delivery inspection), warranty, other work to be performed on new units
  • Maintain/track open field service jobs
  • Order parts and/or outside services
  • Coordinate with vendors for orders
  • Process all system and hard copy documentation for all WIP orders
  • Open Logistics Process Support (LPS) tickets for expediting, pricing, etc.
  • Prepare quotes and invoices and/or close field service and WIP jobs
  • Follow up with Sandvik internally as required to satisfy the requirements of WIP
  • Answer internal and customer inquiries on service, parts availability, delivery times and status of orders
  • Look up parts, pricing and availability to provide quotes to customers for service work and audits
  • Open/assist jobs with parts needed from stock equipment
  • Provide monthly reports for team and customers
  • Enter warranty claims and close jobs upon acceptance or rejection of claims

System Maintenance
  • Open/maintain branches in system
  • Maintain/create technicians in system
  • Maintain labor cost and sell rate in system
  • Maintain user parameters, team authorizations and user/branch authorities
  • Train/Assist coworkers regarding systems when issues arise, and when they need assistance
  • Assist co-workers with getting access to system as necessary

Administrative Duties as Requested
  • Order vehicle safety equipment for fleet
  • Order uniforms for field service technicians
  • Order tools for field service technicians
  • Order office supplies for technicians

Accounting
  • Maintain accounts payable (AP) links for orders placed; amend and receive orders
  • Work with accounts receivable (AR) to resolve outstanding balances
  • Work with vendors and customers to be set up in Sandvik Enterprise Resource Planning (ERP) system

Additionally, the Service Administrator will:
  • Process all system and hard copy documentation for all WIP orders
  • Secure parts and materials for technician jobs
  • Prepare quote information for parts and service jobs
  • Coordinate with vendors for orders
  • Follow up with Sandvik internal stakeholders as required to satisfy the requirements of WIP
  • Prepare, quote, and invoice jobs (according to scopes provided)
  • Produce reports for in-process, backlog and future jobs

Minimum Qualifications:
  • 3-5 years of experience in service administration or inventory management
  • Demonstrated aptitude for learning new data input systems
  • Intermediate to advanced level in Microsoft Office, specifically Word and Excel
  • Demonstrated experience with manipulating worksheets, nesting formulas, mathematical and logical functions, and querying data from external sources within Excel
  • Openness to evolving systems and workplace structure

Compensation Range: $60,000 to $70,000
Work authorization
Must have the legal right to work in the United States on an indefinite basis without employer sponsorship.
