Office Operations Manager

Seasonal/Temporary Position — September through February

Automatic Entrances of Wisconsin is seeking an organized and dependable Office Operations Manager to own payroll and benefits administration, oversee fleet management, and assist with general finance and HR tasks — all while keeping AEW running smoothly.

**This will be a temporary, 40 hour per week position onsite in our Waukesha office.

Key Responsibilities:

Payroll & Compensation

  • Process, audit, and post weekly payroll (hourly, salaried, prevailing-wage, and commissions), including calculating technician hours.
  • Calculate, pay, and reconcile quarterly sales commissions.
  • Administer the company's Ramp expense management platform.

Benefits & 401(k)

  • Administer medical, dental, vision, HSA, life, disability, and wellness programs.
  • Lead annual open enrollment and vendor renewals — note that open enrollment falls in October/November, within this role's season, and requires significant hands-on involvement.
  • Serve as 401(k) plan administrator, including deferrals, match funding, compliance testing, and audit preparation.

HR Policy & Compliance

  • Enforcing HR policies on PTO, overtime, leave, expense reimbursement, performance reviews, and corrective action.
  • Maintain personnel files, I-9s, OSHA logs, and EEO data; complete required federal and state filings.
  • Oversee workplace safety recordkeeping and compliance documentation.

Employee Lifecycle

  • Own onboarding and off-boarding for new and departing employees, including preparation and orientation.
  • Conduct exit interviews and serve as the general point of contact for concerns from all team members.
  • Administer fleet cards, cell phones/tablets, building security, keys/IDs, and employee clothing vouchers.

Office & Vendor Administration

  • Oversee office supplies, kitchen stock, and general office/kitchen inventory and restocking.
  • Manage the company vehicle fleet.
  • Manage MSP/IT, cleaning, landscaping, snow removal, and other outside vendors.
