Job description

Construction Field Administrator
The Construction Field Administrative Assistant plays a key role in supporting field operations by coordinating timekeeping, maintaining project documentation, and ensuring accurate and timely administrative processes. This position works closely with field teams and project management to drive efficiency, accuracy, and compliance across active jobsites.

A Day in the Life:
  • Serve as the primary point of contact for jobsite administrative support, including data entry, documentation, and record maintenance.
  • Provide Payroll & Timekeeping coordination, including, but not limited to:
    • Oversee time and production entries in Rhumbix.
    • Verify alignment between employee clock-in/clock-out (CI/CO) data and job-charged labor.
    • Process and track employee PTO.
    • Initiate timecard approvals, including sending employee text alerts for signature.
    • Review and audit timecards for discrepancies prior to payroll processing.
    • Coordinate corrections with field teams and project management as needed.
  • Maintain accurate records of all project field employees, including:
    • Updating employee rosters with contact and emergency information
    • Tracking skilled temporary workers
    • Processing jobsite-level termination and transfer documentation
  • Provide basic HR administrative support to field employees, including processing forms such as address changes.
  • Utilize Procore software to support field operations.
  • Provide first-level support for field technology, including troubleshooting software and hardware issues.
  • Review, code, and route employee expense reports for approval and submission to Accounts Payable.
  • Order and maintain office supplies and equipment for the jobsite.

You Should Have:
  • Possess administrative experience supporting Construction field teams.
  • Bilingual (English/Spanish) preferred
  • Demonstrate advanced knowledge of Microsoft Office, and PDF editing software.
  • Demonstrate excellent administrative, organization, communication, and follow-up skills.
  • Ability to work independently without direct supervision.
  • Experienced working in a fast-paced environment.
