Job Title: Outside Opts SpecialistJob Description
We are seeking a dedicated Outside Opts Specialist to manage Independent Contractor (IC) relationships, coordinate onboarding processes, and ensure compliance with customer and regulatory requirements. You will serve as the principal contact for body shop vendors, insurance carriers, and customers, assisting with vehicle damage repairs and processing invoices. Additionally, you will support the team through regular administrative tasks and identify opportunities for process improvements.
Responsibilities
- Manage Independent Contractor relationships by advertising vacancies, coordinating onboarding, and preparing driver guides.
- Track expiring credentials and ensure yearly contracts are executed to maintain service continuity.
- Follow up with ICs who terminate their contracts.
- Provide guidance and ensure compliance with field offices regarding IC interactions.
- Prepare work orders for damage repairs, including vehicle information, accident damage, and photos.
- Act as the main contact between body shop vendors, insurance carriers, and customers for damage repairs.
- Consult with body shops regarding necessary repairs and possible alternatives.
- Communicate repair services and costs to customers and process invoices.
- Monitor team dashboard and complete tasks to maintain order flow.
- Perform regular administrative tasks to support the team.
- Assist with business projects and reporting.
- Actively identify and engage in process improvements.
Essential Skills
- 2 to 3+ years of administrative or strong retail operational experience.
- Proficiency in Microsoft Office, particularly Excel.
- Strong data entry and administrative support skills.
- Customer service experience.
- Experience with Outlook.
Additional Skills & Qualifications
- 2+ years of experience in an office environment using computers for administrative duties.
- Experience in transportation, recruiting, auto service advising, or auto claims adjusting is a plus.
- Basic understanding of mechanical/automotive systems and repair type coding is advantageous.
- Comfortable working in a fast-paced office environment.
- Detail-oriented and able to communicate accurate information both verbally and in writing.
- Enjoy being part of a cooperative and considerate team.
- Experience with Microsoft Office and CRM.
Work Environment
This position offers a hybrid work environment, with in-office work required two days a week after a 4 to 6-month conversion period. The dress code is business casual, with guidelines for appropriate attire. The work environment is fast-paced and supportive, encouraging cooperation and process improvement.

This is a Contract to Hire position based out of Gainesville, VA.
Pay and Benefits
The pay range for this position is $18.00 - $22.00/hr.
