Position Summary

This is a position under the Sunland Health Services Department created as an OPS Staff Assistant -housed in the Medical Records Department. Its primary purpose is to organize and maintain records, filing systems and inventories for discharges. This is specialized clerical work which requires independent decision making responsibility.  

The Work You Will Do 

Responsible for ensuring medical records are created and maintained accurately in accordance with guidelines, policies, and procedures. Responsible for ensuring medical charts filing and thinning for Sunland are maintained in accordance with guidelines, both by using the filing system and table of contents.

Discharge processing includes break down the medical chart and combine with the clinical record. Ensures clinical record/file reviews are conducted for consistency of file documentation.

Responsible for completing Social Security requests.

Ability to document and ensure documentation is completed as required.

Completes all required training.

Maintain timesheet, ensuring accuracy and submit timely in accordance with policy and procedure.

Perform other related duties as required.

Minimum Qualifications

  • Two years of secretarial or clerical work experience. College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience. Vocational/technical training in the area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience. A high school diploma or its equivalent can substitute for one year of the required work experience.
  • Willingness to maintain confidentiality of employee and/or resident information. This specific standard is mission critical as the Agency is entrusted with information about employees and residents which is protected by HIPAA and other federal and state laws. The Agency's ability to maintain and protect confidential information has a direct relationship on our ability to gain and sustain the public trust.
  • Preferred; Basic computer skills and knowledge. Experience working with Microsoft Office Programs.
  • Preferred; Familiarity of medical terminology and processing medical records.

This will be accomplished by Electronic Funds Transfer. Banks, savings and loan associations, and credit unions are eligible to accept such deposits. Retirement funds are also required to be in the Direct Deposit Program.

Background Screening Requirement
