Job Summary
The Office of Admissions is seeking a Student Clerk in our Document Imaging area and in our Undergraduate Admissions processing areas. The Document Imaging Clerk will help maintain confidential student records by running updates in student information systems, processing documentation, uploading college and high school transcripts, uploading related documents, and updating information in computerized student information systems. Employees will scan paper documents and match scanned and electronic documents with student data. Review incoming college transcripts for appropriate transfer credit using Raptor software. Greet visitors at our front desk and provide general information regarding Admissions or other academic services. Respond to emails regarding application materials. Perform general office duties as needed.

Advise students on how to navigate through the admissions process, help students understand the application and required documentation and meet the appropriate deadlines. Provide customer service support at our office windows and via phone calls as it relates to undergraduate admissions.
Responsibilities
  • Perform detailed data entry tasks, including entering contact information of prospective students, processing transcripts submitted from high schools and universities, and adding standardized test scores to current student records.
  • Maintain a working knowledge of admissions policy for document handling.
  • Receive, sort and distribute incoming mail.
  • Run daily and weekly updates in student information systems (queries).
  • Greets visitors at the front desk and provide general information regarding Admissions or other areas related to academic services.
  • Respond to emails regarding application materials.
  • Perform general office duties as needed.
  • May be required to cross-train in other areas of Admissions to assist as needed.
  • Advise students on how to navigate through the admissions process, help students understand the application and required documentation and meet the appropriate deadlines.
  • Employees in Document Imaging will scan paper documents and match scanned and electronic documents with student data (indexing).
  • Employees in Undergraduate Admissions will provide customer service support at our office windows and via phone calls as it relates to undergraduate admissions.

Minimum Qualifications
Department Specific Qualifications:
• This position must be filled by a current University of Utah student.
• High attention to detail and ability to proofread and verify data
• Proficiency with Microsoft Office Suite and ability to learn new software systems
• Excellent customer service skills
• Strong speaking skills
• Strong problem-solving skills
• Ability to relay complex information to students, parents, and other campus partners
• Strong professional writing ability
• Ability to adapt to updated policies and processes
Preferences
  • Experience and/or interest in working with students and/or Admissions
  • Commitment of 15 to 19 hours per week
  • Ability to work at least three hours at a time
  • Foreign language desired but not necessary
  • One year of general office experience or equivalency preferred; previous experience using Outlook
  • One-year data entry experience or equivalency preferred;
  • Working knowledge of Excel; comfortable working with spreadsheets.
