Job description

TELOS CAPITAL MANAGEMENT, INC. is currently seeking a detail-oriented Client Service & Operations Specialist to join our team in San Diego. This is an exciting opportunity to gain hands-on experience in the investment management industry at a dynamic, growing SEC-registered investment adviser (RIA).


Position Summary

This position reports to the Client Service & Operations Manager and works closely with the Manager, advisors, investment team, and clients, providing administrative and operational support to deliver exemplary client service. Primary duties include opening and maintaining accounts, processing money movements, coordinating with custodians and internal teams to ensure timely and accurate resolution of service requests, and serving as a key point of contact for client service needs, contributing to a consistent and positive client experience.


Principal Duties and Essential Functions:

  • Support the Operations Manager and investment team with daily administrative needs
  • Create, maintain, and update client files and records in our CRM, systems, and office files, consistent with firm policies
  • Prepare and submit account paperwork for new and existing clients, including internal firm forms (Investment Management Agreement, etc.) for new clients, and custodian paperwork for all accounts; track status and communicate updates to the advisor and client
  • Process client move money requests (withdrawals, transfers, deposits, etc.)
  • Process account maintenance requests (address, email, beneficiary, or trustee changes, account closures, etc.)
  • Monitor daily custodial alerts and resolve or escalate as needed (account updates, etc.)
  • Perform data entry, data reconciliation, and spreadsheet updates
  • Answer phones, prepare, process, and file firm forms, and handle client mailing requests
  • Support billing and fee collection processes, including mailing client statements
  • Prepare expense reports
  • Assist with special projects as assigned
  • Adhere to regulatory, compliance, and firm policies, procedures, and code of ethics


Requirements/Qualifications and Skills:

  • Bachelor's degree in Finance or related field preferred — new grads considered with a business-related degree and/or relevant internship/work experience
  • 1-2 years of experience with an RIA, financial planner, broker-dealer, or bank preferred
  • Experience with CRM systems is a plus
  • Excellent Communication skills, both written and verbal, to interact effectively with clients, advisors, custodians, and team members
  • High attention to detail, accuracy in data entry, and strong organizational skills to manage multiple tasks and deadlines
  • Quick learner who exhibits high standards and strives for excellence
  • Self-starter who works well independently and as part of a team
  • Proficient in standard office software (e.g., Microsoft Word, Excel, Outlook)
  • High ethical standards and ability to maintain confidentiality
