Job description

Department Overview
The Portland Alcohol Research Center (PARC) Program Administrator provides administrative and operational support for the PARC, a long-standing, NIH-funded, research collaboration involving investigators from Oregon Health & Science University (OHSU) main campus, the Oregon National Primate Research Center (ONPRC), VA Portland Health Care System (VAPORHCS), and Legacy Health Research.
Function/Duties of Position
Administrative support
  • This includes supporting the PARC Director and Scientific Director, supporting the creation of the annual PARC progress report and publication-related tasks.
  • Supporting the development of competitive renewal grant applications.
  • Supporting the PARC-related travel arrangements.

Budget and Resource Management
  • This includes tracking of operational budgets for the PARC as a whole and individual components of the PARC and arranging for reimbursement of expenses for PARC-related events/meetings.

Communication and Coordination
  • This includes the dissemination of information to PARC investigators, organization of meetings of PARC personnel, the external Program Advisory Committee (PAC) and Internal Advisory Board (IAB), reserving meeting spaces, and preparing itineraries for visiting speakers/PAC members.

Record Keeping
  • Keep organized and meticulous records of PARC-related publications, seminars, workshops/outreach events, finances, and progress reports; Maintenance of the PARC Library.

Other duties as assigned.
Required Qualifications
  • A Bachelor's degree and two years of experience leading projects; OR
  • Associates degree and three years of experience leading projects; OR
  • An equivalent combination of training and experience.
  • 3 years of experience working in an administrative support role supporting a team of 10 or more people.
  • Capable of working both independently and as part of a results-oriented team.
  • Must possess the ability to work rapidly and accurately while tracking many details.
  • Strong skills in oral, email, and written communication as well as punctuality, dependability, and a high degree of personal and professional organization.
  • Other qualifications include: attention to detail, flexibility, adaptability, mastery of internet search and the Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).

Preferred Qualifications
  • Experience with research centers in academia, or research settings.

Additional Details
Work hours will largely occur on Monday - Friday between 9:00am - 5:00pm. Occasional work outside of these times may be required (including rare weekends) as necessary to meet critical deadlines. Flexibility in schedule is needed. Position is approximately 50% telework; 50% on campus for a total of 20 hours per week.
