About theFunds

Ship and Rail Compensation Canada is Canada's compensation hub for anyone affected by oil spills from ships or boats and by major railwayaccidents involving crude oil.

The Ship Fund compensates victims of pollution from the discharge of oil from ships in Canadian waters,whereasthe Rail Fund compensates victims of damages caused by a majorrailwayaccidentinvolving crude oil.

The Funds are managed as separate entities by an Administrator and a small team of dedicated staff, supported by a shared Corporate Servicesteam.Approximately 25 employees, consultants and students occupy a single office location in downtown Ottawa. Employees have a wide variety of backgrounds andexpertise, including finance, law, marine and railexpertise, communications, information management, and administration.

Key Responsibilities

We are looking for abilingualFinancial SupportOfficertoprovideadministrative and operationalassistanceto the finance functions ofboth Funds.


Under thegeneralsupervisionofthe Director, Finance and Corporate Services and workingcloselywiththeFinance Officer, theFinancial SupportOfficer will:

Finance Support Duties

  • Assistwith accounts payable and accounts receivable processing
  • Support the preparation and reconciliation of financial records, reports, and expenditures
  • Enter financial transactions into accounting andfinancial managementsystems
  • Assistin processing invoices, purchase requisitions, payments, deposits, and transfers
  • Maintainaccuratefinancial records and filing systems
  • Support quarterly and annual financial reporting activities
  • Assistwith vendor communications and follow-upregardinginvoices and payments
  • Helpmaintaininventory records
  • Track expenditures andassistwith budget monitoring activities

Administrative Duties

  • Organize andmaintainfinancialfiling systems
  • Draft routine correspondence and administrative documents
  • Maintainrecords related to vendors, contractors, and service providers
  • Support office administrative activities related to finance
  • Perform other related duties as assigned

Budgeting Duties

  • Provides support in variance analyses,breakdownand reconciliation of budgets to actuals.
  • Provides support in monitoring budgetutilizationthroughout the fiscal year andidentifiespotential surpluses, deficits, or reallocationsrequired.
  • Provides support in the preparation andanalysesof financial reports, expenditure trends, and forecasts to support budget management and resource allocation.

This is anindeterminatefull-time position based in our Ottawa office. Consideration may be given to allowing flexible work arrangements under the Administrator's policy on telework.


Profile

Candidates should have the following minimum qualifications:

EDUCATION

  • Diploma or undergraduate degree in Business Administration, Commerce, Accounting, Finance, or a related field

EXPERIENCE

  • Required -Minimum of 2years' experiencein an administrative, finance, or accounting support role
  • Required -Experience working with accounting software such as Sage, Simply Accounting, QuickBooks, or similar systems
  • Required-Strong organizational and recordkeeping skills
  • Required - Excellent communication skills in English or French
  • Required - Bilingualism
  • Required -Ability tomaintainconfidentiality and handle sensitive information responsibly
  • Asset -Experience using M365 applications
  • Asset -Experience with federal government procedures and policies

Compensation

The starting salary ranges from$55,000 to $71,500for a 35-hour/week, depending on the experience and subject to position review and update.
