The Telepsychiatry Coordinator performs moderately complex administrative support work and routinely interacts with treatment team members. This position manages the scheduling of Telepsychiatry services and orchestrates the logistics of patients and Telepsychiatry providers utilizing direct communication and exchanged information to ensure an efficient system. Works under general supervision, with moderate latitude for the use of initiative and independent judgment.
Performs other duties as assigned. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
This position may also be eligible to earn additional pay for work performed on maximum security locations.
Essential Job Functions (EJFs):
Attends work on a regular basis and may be asked to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
Oversees and manages the scheduling of Telepsychiatry services provided by psychiatrists, psychologists and APRNs utilizing shareable databases to ensure cohesiveness.
Actively coordinates and participates in shift reporting and recovery team meetings, or meetings with treatment team staff when needed to communicate suggestions, concerns, or issues with the provision of Telepsychiatry services.
Instructs other PNAs on the process of escorting patients to the Telepsychiatry appointments. Instructs other staff on specific hospital and unit/program procedures and policies as related to the provision of Telepsychiatry services.
Shares information with other PNAs so they understand their role in supporting the provision of Telepsychiatry services as part of the patient's treatment.
Performs administrative duties to include coordinating, compiling, and scheduling telepsych visits between providers and patients using a scheduling database. Editing and distributing documents, forms, and any correspondence between providers, patients, and hospital leadership.
Participates in all mandatory training as well as any required program or specific training in order to meet requirements and ensure skills and knowledge are maintained.
Serves as a liaison/contact person for program staff, patients and centralized rehabilitation staff through direct communication via phone calls or emails and exchange of information in order to assure that Telepsychiatry schedules are created and maintained and modified, even on short notice, when needed.
Escorts patients to their Telepsychiatry appointments and coordinates the provision of Telepsychiatry services.

Knowledge, Skills and Abilities (KSAs):
Knowledge of office practices and administrative procedures
Knowledge of HIPPA and confidentiality rules
Knowledge of the Electronic Medical Record (EMR)
Proficient knowledge and skills in computer use and the written language including spelling, punctuation, medical as well as psychiatric terminology.
Skills in the use of standard office equipment and software
Organizational skills required to manage a complex schedule for multiple providers schedules are maintained.
Ability to be productive and responsible in a professional environment.
Ability to communicate effectively using both oral and written methods.
Ability to work with others and accept supervision.
Ability to multi-task and work under pressure
Ability to synthesize large amounts of information into a clearly written and concise document.
Ability to coordinate team members so that schedules are maintained.

Initial Screening Criteria:
At least two (2) years' experience in a professional support role.
Additional Information:
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, List of Excluded Individuals/Entities (LEIE). Males between the ages of 18-25 must be registered with the Selective Service.
All applicants must be at least 18 years of age to be considered for employment at a state-operated facility. Waco and Terrell Center for Youth applicants must be 21 years of age.
Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours.
Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required. According to the Centers for Disease Control and Prevention, healthcare workers are at significant risk for acquiring or transmitting hepatitis B, measles, mumps, rubella, varicella (chicken pox), tetanus, diphtheria, pertussis (whooping cough), and influenza. All these diseases are vaccine preventable. Vaccines may be provided. As a result, state hospital policy requires employees be vaccinated according to their level of contact with individuals. In the event you choose to not be immunized for the influenza virus, you may be required to wear a mask and take other protective measures.
