What is a technical program assistant?

Technical Program Assistants provide administrative and technical support to program managers and teams in organizations that run technical projects or initiatives. Their responsibilities often include scheduling meetings, maintaining documentation, assisting with project tracking, and coordinating communication between team members. They may also handle basic technical tasks, data entry, and help with reporting to ensure that programs run smoothly and efficiently. This role is essential for keeping projects organized and ensuring deadlines are met.

What types of projects and teams does a technical program assistant typically support, and how does this impact daily tasks?

Technical Program Assistants usually support cross-functional teams working on technology-driven projects, such as software development, IT infrastructure upgrades, or research initiatives. This means your daily tasks may include coordinating meetings, tracking project milestones, managing documentation, and facilitating communication between technical staff and stakeholders. The role often requires adaptability, as priorities can shift rapidly depending on project needs. Working closely with project managers, engineers, and other specialists allows you to gain broad exposure to technical processes and develop valuable organizational and problem-solving skills.

What are the key skills and qualifications needed to thrive as a technical program assistant, and why are they important?

To thrive as a Technical Program Assistant, you need strong organizational skills, attention to detail, and a background in project coordination or administration, often supported by a relevant associate's or bachelor's degree. Familiarity with project management tools (such as Asana or Trello), office software, and sometimes basic technical knowledge or certifications like PMP support the role. Excellent communication, problem-solving abilities, and the capacity to multitask distinguish top performers in this position. These skills ensure efficient program operations, clear team coordination, and the successful delivery of technical projects.

Key Responsibilities
  • Support technical and program teams in completing program milestones and execution objectives across the project lifecycle.
  • Operate as a flexible engineering team member who can contribute as an individual contributor and shift between activities such as design, analysis, integration, and test support based on program needs.
  • Support technical program execution through multiple phases, including design, integration, and flight testing.
  • Perform mechanical design activities using CAD and related engineering tools to support concept development, detailed design, and design updates.
  • Perform engineering analyses, including hand calculations and other performance-related calculations, in support of design and integration activities.
  • Support hardware integration and testing efforts, including preparation, execution, data collection, and followโ€‘up actions as needed.
  • Support vendor and subcontractor management activities, including coordination, technical followโ€‘up, and site visits when required.
  • Assist in the creation, organization, and presentation of technical artifacts for program milestones to the Prime and Government stakeholders as required.
  • Collaborate across technical teams to facilitate technical deliverables and support overall program execution.
  • Communicate technical status, issues, and needs clearly in both written and verbal formats within a technical program environment.
Required Qualifications
  • Bachelor of Science in Mechanical Engineering or a related technical field; equivalent experience may be considered.
  • 5+ years of relevant experience outside of education.
  • Experience supporting research and development activities.
  • Experience supporting fastโ€‘paced programs that include design, integration, and testing phases.
  • Demonstrated experience executing design activities, such as CAD, or performing analysis in support of design, such as hand calculations.
  • Flexibility to operate in multiple roles based on team and program needs.
  • Strong verbal and written communication skills with demonstrated experience in a technical environment.
  • Selfโ€‘motivated with the ability to work effectively in a fastโ€‘paced, collaborative, research and development environment.
Preferred Qualifications
  • Master of Science in Mechanical Engineering or a related technical field.
  • Demonstrated experience supporting a fastโ€‘paced technology demonstration program that progressed from design through integration and testing.
  • Experience supporting component or subsystem manufacturing through external vendors or subcontractors.
  • Experience conducting performance analysis calculations to support design or integration activities using commercial or internally developed tools.
  • Demonstrated experience collaborating across multiple technical teams to achieve technical deliverables.
  • Demonstrated ability to operate in a variety of technical program roles as necessary to achieve program goals.
  • Demonstrated experience coordinating with customer stakeholders, including Government and/or prime contractor representatives.
