Quality Document Specialist

Position Summary

The Quality Document Specialist is primarily etiquette for collecting, reviewing, correcting, and organizing quality documentation into complete, accurate document packages in accordance with contract, customer, sales order, and RIX requirements.

Responsibilities

  • Gather quality, manufacturing, inspection, test, material, vendor, and other required records for compressor packages and other products.
  • Review documents for completeness, accuracy, legibility, required signatures and approvals, correct revision status, and compliance with applicable contract, customer, sales order, RIX, and government requirements.
  • Identify missing, incomplete, or incorrect documentation; coordinate with the responsible department, supplier, or Quality representative to obtain corrections; and follow up through completion.
  • Organize documentation in the required sequence and format, including indexes, section dividers, bookmarks, and other package controls as applicable.
  • Assemble final quality document packages, data books, or turnover packages in electronic and/or hard-copy format.
  • Upload, transmit, or otherwise deliver completed documentation through the required delivery platform in accordance with contract, sales order, customer, or RIX instructions.
  • Maintain document status trackers, detailed notes, and orderly electronic and hard-copy filing systems to support traceability and retrieval.
  • Protect document integrity by ensuring obsolete, duplicate, or superseded records are not included in final packages.
  • Communicate documentation gaps, overdue corrections, and potential schedule impacts to the QC Administrator, Quality representative, or manager.
  • Provide general clerical and office support to the Quality Control department.
  • Perform PMI gun verification of compressor components when trained, authorized, and required by contract, part number, or sales order.
  • Maintain a safe, clean, and organized work area.
  • Perform other duties and special projects as assigned by the manager or designated Quality representative.

Minimum Qualifications

  • High School diploma or equivalent required.
  • 2 years of progressively responsible experience in quality documentation, manufacturing administration, document control, or related administrative experience.
  • Demonstrated experience collecting, organizing, reviewing, and validating large volumes of technical documentation while managing multiple priorities and deadlines.
  • Intermediate proficiency with Microsoft Excel including sorting, filtering, formulas, pivot tables, data validation, and tracking spreadsheets. Ability to analyze documentation status, identify discrepancies, and maintain accurate reporting metrics.
  • Proficient with Microsoft Word, Outlook, and Adobe Acrobat, including creating bookmarked PDFs and assembling electronic document packages.
  • Strong attention to detail with the ability to identify inconsistencies, missing information, incorrect revisions, and documentation errors before release.
  • Ability to coordinate with multiple departments to resolve documentation issues and drive timely completion of required records.
  • Excellent written and verbal communication skills with the ability to communicate professionally across all levels of the organization and use proper email and phone etiquette.
  • Ability to prioritize competing assignments, work independently with minimal supervision, and maintain confidentiality of proprietary information.
  • Ability to perform basic calculations.
  • Ability to communicate with others to exchange information both orally and in writing.
  • Citizenship: U.S. Citizen or qualified U.S. Person in accordance with ALU 22CFR 120.15. May require the ability to obtain DOD security clearance.

Preferred Qualifications

  • Associate degree in Business, Quality, or related field.
  • Experience working within an AS9100, ISO 9001, or other regulated manufacturing environment.
  • Experience assembling customer data books or quality documentation packages.
  • Working knowledge of engineering drawings, bills of material, inspection reports, material certifications, and manufacturing records.

1. Must have the following physical abilities:

  • Ability to stoop, kneel, crouch, bend, stretch, reach, and lift.
  • Ability to lift up to 50 pounds regularly.
  • Ability to sit or stand for extended periods at a desk or table as well as machine tools or printers.
