Job Summary

The Administrative Assistant provides administrative support to the organization's General Manager by reviewing, analyzing, and summarizing commercial agreements. This position ensures contractual accuracy, identifies potential risks, and supports compliance with internal policies and external regulatory requirements. The role requires strong analytical capabilities, exceptional attention to detail, and the ability to work effectively in a fast-paced business environment.

Essential Functions
  • Contract Analysis — Review and interpret business contracts, including vendor agreements, service contracts, NDAs, licensing agreements, and partnership documents.
  • Risk Identification — Identify legal, financial, and operational risks; escalate issues to supervising attorneys as appropriate.
  • Contract Summarization — Prepare structured summaries outlining key terms, obligations, deadlines, renewal dates, and compliance requirements.
  • Document Administration — Maintain organized contract files, ensure version control, and support the use of contract management systems.
  • Internal Coordination — Communicate contract requirements to relevant departments (e.g., Finance, Operations, Procurement) and track follow-up actions.
  • Template Support — Assist in drafting, updating, and maintaining standard contract templates under executive team and attorney supervision.
  • Compliance Monitoring — Track contractual deadlines, notice periods, and performance obligations to ensure timely compliance.
  • Legal Research — Conduct research related to contract terms, regulatory considerations, and industry standards.
  • Property Management — Assist with construction permitting and insurance matters.
  • Building Safety Requirements — OSHA requirements, fire and other inspections, permits
  • Make travel arrangements for executives.
  • Prepare invoices, reports, memos, letters and other documents.
  • Take phone calls and direct to appropriate parties.
  • Prepare agendas and make arrangements, such as catering for luncheons, meetings, and events.
  • Perform day to day administrative tasks.

Physical Requirements

  • Occasionally exposed to moving mechanical parts and vehicles due to necessary communication with shipping and receiving.

Education
  • Associate's degree or completion of an accredited certification program preferred.
Experience

At least 2-4 years' experience, related experience or training, or equivalent combination of education and experience.
