Job Summary
We are seeking an IT Training Specialist based at the United States Merchant Marine Academy in Kings Point, NY. This role is onsite and may have flexibility for some situational remote work days. This role leads end-user technology training, develops knowledge resources, and enhances IT communications and service delivery. It drives Microsoft 365 adoption, supports onboarding training, builds and maintains knowledge bases, manages intranet content, and delivers proactive user education.
The ideal candidate is an excellent communicator and quick learner who excels at synthesizing technical information from subject matter experts and translating it into clear, user-friendly training, documentation, and guidance for non-technical audiences. Deep expertise in every tool or system is not required; the focus is on strong analytical, facilitation, and communication skills to bridge IT and end-users effectively.
Job Description
  • Deliver Microsoft 365 and general IT training during employee onboarding.
  • Develop quick reference guides, training materials, and knowledge base articles.
  • Host Office Hours and Lunch & Learn sessions in person and via Microsoft Teams.
  • Maintain and update IT SharePoint and intranet sites.
  • Review service desk tickets to identify recurring issues and create proactive training materials.
  • Develop and distribute IT announcements, newsletters, and cybersecurity bulletins/guidance.
  • Support integration of ITSM tools (e.g., Jira) with training resources.
  • Track mandatory training compliance and reporting.
  • Assist in developing AI chatbot solutions for common IT issues.

Qualifications
Required Qualifications
  • Bachelor's degree in IT, Communications, Education, or related field (or equivalent experience) and at least 1 year of relevant experience.
  • Highly preferred 5-7 years of experience in IT training, knowledge management, technical communications, or a similar role.
  • Strong working knowledge of Microsoft 365 (Teams, SharePoint, OneDrive, Outlook).
  • Proven ability to quickly learn new tools/technologies, synthesize complex information, and create clear, user-friendly training and documentation.
  • Experience delivering live/virtual training and facilitating sessions.
  • Familiarity with IT service management platforms (Jira, ServiceNow, etc.).
  • Excellent written, verbal, and interpersonal communication skills.

Preferred Qualifications
  • Experience with Power Platform or AI chatbot tools.
  • Experience in regulated or government environments.
  • Knowledge of cybersecurity awareness training.
  • Microsoft 365 Certified: Fundamentals (MS-900).
  • Microsoft 365 Certified: Teamwork Administrator Associate (MS-300 / MS-301).
