Job description

This position supports the Legal department’s contracts/procurement, intellectual property, and operations functions, working closely with in-house attorneys and business stakeholders across the organization. The position will assist with commercial and vendor agreements, procurement workflows, IP portfolio administration, and legal operations, helping ensure contracts and intellectual property assets are managed efficiently, accurately, and in alignment with company policies and business objectives. 

The ideal candidate is detail-oriented, organized, comfortable with legal technology, and able to manage multiple matters in a fast-paced, collaborative in-house environment.  


Key Responsibilities 

Contracts & Procurement Support 

  • Assist attorneys with the preparation, review, and administration of commercial, vendor, procurement, SaaS, technology, and confidentiality agreements, including NDAs, MSAs, SOWs, amendments, and renewals.  
  • Coordinate contract intake, execution, and signature processes, including routing agreements for internal approvals and maintaining executed copies.  
  • Maintain and update contract records in the company’s contract lifecycle management and matter management systems.  
  • Track key contract terms, milestones, and renewal dates; assist with reporting and audits as needed.  
  • Support procurement-related legal workflows by coordinating with sourcing, finance, and business teams.  

Intellectual Property Support 

  • Assist with administration of the company’s intellectual property portfolio, including trademarks, copyrights, and related IP assets. 
  • Coordinate IP filings, renewals, deadlines, and correspondence with outside counsel, government offices, and relevant internal stakeholders. 
  • Maintain accurate IP records, databases, and docketing systems, ensuring compliance with deadlines and reporting requirements. 
  • Support IP-related agreements, including license agreements, assignments, and consents, under attorney supervision. 
  • Support trademark clearance, use reviews, and brand protection efforts, including coordination of evidence of use and enforcement support. 
  • Assist with IP audits, portfolio reviews, and internal reporting related to intellectual property assets and strategy. 

Legal Operations & Department Support 

  • Maintain organized electronic and physical legal files, templates, and document libraries.  
  • Assist with invoice processing, outside counsel coordination, and budget tracking related to contracts and IP matters.  
  • Prepare summaries, trackers, and reports for attorneys and business partners.  
  • Support implementation and continuous improvement of IP and legal processes, tools, and workflows, leveraging artificial intelligence (AI) tools where appropriate.  
  • Perform other functionally related duties as assigned in support of the Legal department.  

Qualifications 

Required 

  • Paralegal certificate or equivalent practical experience. 
  • 2–5 years of experience in an in-house legal department or law firm, with exposure to contracts, commercial transactions, or procurement support.  
  • Strong organizational skills and attention to detail, particularly with deadlines and data management.  
  • Ability to manage multiple priorities and work independently in a fast-paced environment.  
  • Strong written and verbal communication skills, and an ability to interact/communicate with individuals at all levels of the organization.  
  • Proficiency in the Microsoft suite of tools (including Teams, Word, Excel, PowerPoint, Copilot) and PDF tools; comfort learning IP docketing, contract management, and other legal technology systems.  
  • Ability to handle confidential information with discretion and professionalism.  

Preferred 

  • Experience supporting intellectual property matters (trademarks, copyrights, licensing, or IP administration). 
  • Familiarity with contract lifecycle management, matter management, and/or IP docketing systems.  
  • Experience supporting technology, SaaS, marketing, or licensing agreements. 
  • Prior in-house experience supporting procurement, technology, or vendor agreements.
