Position Tasks
  • Contracts Management Support
    • Perform pre-award and post-award contracting activity support, to include the collaborative development of statements of work, IGCEs, acquisition plans, market research, review and tracking of contract performance in accordance with the SOW and Federal Acquisition Regulations (FAR), tracking of contract deliverables, and CPAR evaluations.
    • Document the source selection procedure, ensuring adherence to Department guidelines.
    • Coordination of proposal evaluations, preparing a consolidated response from all panel members in a standardized format.
    • Assist with the management of contract files, standardizing naming conventions and version control in the appropriate repositories (SharePoint, Share Drive, etc.); includes maintaining the contract eFile in the Department's Integrated Logistics Management System (ILMS).
    • Provide inputs for annual financial plans, assisting with budget execution and tracking.
    • Contract invoice reconciliation, verifying the receipt of services/ contract deliverables. and identifying and following up on discrepancies.
  • HW/SW Procurement & IT Management Support
    • Analyze IT procurement requests for completeness, assisting with requirement definition and technical specification of the proposed IT solution.
    • Evaluate IT procurement requests to ensure all procurement guidelines are met as they pertain to the IT Change Control Board (ITCCB), cybersecurity, NDAA 889 compliance.
    • Identify opportunities to gain efficiencies and consistencies with the hardware and software portfolio, avoiding procurement of duplicative tools and services.
    • Assist with maintaining software purchase records and agreements to ensure licensing compliance and current vendor support.
    • Assist with hardware and software asset inventory, collaborating with the Help Desk in the management of user lists and license quantities.
    • Coordinate with vendors and customers to ensure receipt of items ordered, assisting with issue resolution for incomplete, incorrect, or damaged items.
    • Assist with the HW/SW annual renewal process for baseline IT tools and services.
  • Reporting & Process Improvement Support
    • Write, edit, and/or coordinate a broad array of GTM materials, e.g. reports, new business processes/policies, major announcements, and other written materials.
    • Develop information from various sources to produce highly specialized reports, analyses and recommendations to facilitate GTM/EX decision-making.
    • Assist with contract status tracking, contributing to team responses to executive level inquiries.
    • Provide business analysis support, documenting internal processes and assist in identifying opportunities for process improvement and automation.
    • Assist with developing and maintaining a variety of accurate and up-to-date tracking spreadsheets.
  • Program Office Liaison & Resource Onboarding Support
    • Work in a team environment to align customer needs with contractual actions.
    • Work with program and contracting offices as appropriate, serving as the liaison in support of the COR and their duties.
    • Coordinate contractor onboarding with program offices and vendors, to include the safe handling of PII, badging, network access, and GFE issuance.
    • Provide occasional onsite escort support for new hires and vendor meetings.
    • Coordinate contractor offboarding with program offices and vendors, to include account deactivation, GFE return, and backfilling support.
Knowledge, Skills, Abilities
  • IT generalist knowledge/background, to include hardware and software technical specification, IT infrastructure, and IT requirement analysis is required for this position.
  • High-level proficiency with the Microsoft Office Suite, specifically MS Excel is required. Must be highly capable of creating and manipulating formulas, conditional formatting, pivot tables, and evaluating equations for completeness and accuracy, using shortcuts where appropriate.
  • Exceptional organizational skills, with the ability to follow and/or create configuration management and naming convention standards.
  • Exceptional verbal and written communication skills, being able to identify due outs/ tasks from meetings and deliverable schedules, communicate effectively amongst diverse team members and partners, and communicate professionally with senior management, when required.
  • Ability to work collaboratively and independently, with the ability to adjust to an occasionally demanding/ high-volume office cadence.
  • Federal procurement and acquisition experience is highly desired.
  • Regularly scheduled in-office (Washington, DC) days and meetings are required for this position.
