The Advancement Data & Systems Administrator serves as the primary Administrator of Advancement Applications and related data infrastructure. This role is responsible for defining and maintaining system configuration, data structures, and governance standards that enable accurate reporting, analytics, and fundraising operations across all Advancement Program Areas in alignment with Cranbrookโ€™s Information Technology data governance and cybersecurity policies. As a central position within Advancement Services, this position partners with the Director of Advancement Services to translate Advancement priorities into scalable system architecture and documented workflows. The Advancement Data & Systems Administrator exercises independent judgment in system administration, data governance, and problem resolution, and serves as a subject-matter expert for Advancement staff on Advancement Applications functionality and best practices.

Responsibilities include, but are not limited to:ย 

Advancement Application Administration & Data Governance

  • Serve as the day-to-day administrator of Advancement Applications, ensuring system integrity, security, and adherence to established data governance standards.
  • Security standards and vendor access controls are established in partnership with Cranbrookโ€™s Information Technology Department.
  • Define and maintain data structures, constituent record standards, gift entry rules, and system configurations that support consistent reporting and analytics.
  • Oversee ongoing data audits, hygiene, and remediation efforts to ensure accuracy, completeness, and usability of Advancement data.
  • Develop, document, and maintain system policies, procedures, and workflows to support continuity, training, and cross-functional consistency.

System Architecture & Enablement

  • Configure and optimize Advancement Application functionality to support fundraising, stewardship, prospect management, and engagement strategies.
  • Integrations and architectural changes are coordinated with Cranbrookโ€™s Information Technology Department.
  • Design and maintain core queries, exports, and data views that serve as the foundation for reporting, segmentation, and dashboards.
  • Ensure analytical outputs align with established system structures and data standards.
  • Evaluate existing workflows and develop system-based solutions to streamline manually intensive or redundant processes.

Collaboration, Reporting & Analytics Support

  • Support complex segmentation, performance tracking, and leadership reporting.
  • Translate Advancement business needs into system solutions that enable reliable analytics and decision-making.
  • Support prospect identification, research, and donor profiling through accurate and timely data preparation.
  • Assist in testing, validation, and implementation of new reports, dashboards, and analytical tools.

System Enhancements, Training & Support

  • Support implementation, testing, and rollout of approved Advancement Applications upgrades, integrations, and enhancements in coordination with the Director of Advancement Services and IT.
  • Provide technical training, consultation, and documentation to Advancement staff on CRM functionality and data standards.
  • Serve as a key Advancement Services liaison with IT and internal partners for system-related initiatives.
  • Conduct technical training and orientation on systems specific to the Advancement Office.
  • Assist in the evaluation and implementation of approved information and technology vendors.

Requirements:

  • Bachelorโ€™s degree in related fields or equivalent technical training required.
  • Familiarity with development and/or non-profit working environment preferred.
  • Five (5) years of experience working with database systems and the integration of data between systems or any combination of experience and training which provides the knowledge, skills and ability required to perform the work. Expert in report writing application techniques.
  • Experience with Blackbaud products, specifically Raisers Edge, preferred. Data conversion experience desirable.
  • Requires excellent written and verbal communication skills to work effectively with diverse user groups.
  • Experience working with team members to solve technical problems and synthesizing technical information to develop solutions.
  • Proficient in Microsoft Word, Excel and PowerPoint.
  • Strong analytical skills.
  • Demonstrated ability to multitask and manage deadlines.
  • Experience with web platforms will be favorably considered.
  • Requires a valid Michigan driverโ€™s license with satisfactory driving record.

This is a full-time position with a salary range of $80k to $82k based on experience.
