Position Summary:

The Safety Ambassador ensures community safety and security at BCZ hubs and events. This position directly contributes to BCZ's mission of centering Black arts, culture, and economics by building community capacity and fostering meaningful connections across East Oakland.

This role supports the Community Life and Well-being signature initiative area, working collaboratively with team members across the Centers of Excellence Network to advance community-centered outcomes. The Safety Ambassador embodies BCZ's C.R.E.A.T.E. values in all interactions and serves as an ambassador for the organization's vision of a thriving Black Cultural Zone.

The Safety Ambassador works with a designated team lead within the COO Pathway, collaborating closely with various teams and community partners to ensure alignment with organizational goals and community needs.

This includes providing administrative support for programs focused on Cradle to Career (youth and education), logistical coordination for Prime Age Adult (workforce and economic empowerment) programs, and documentation support for initiatives that build Life's Legacy (wealth building and cultural preservation).

Key Functions and Responsibilities:
  • Provide comprehensive administrative and logistical support for all CEO Pathway programs and projects, ensuring operational excellence.
  • Coordinate and schedule internal and external meetings, including preparing detailed agendas, leading invitations, and distributing necessary materials.
  • lead and maintain project documentation, files, and records to ensure organizational transparency, accessibility, and compliance.
  • Assist in the preparation of reports, presentations, and correspondence for the CEO and senior team members.
  • Process and track invoices, expense reports, and other financial documentation in coordination with the CFO Pathway.
  • Liaise with team members across the multi-entity structure to facilitate seamless communication and project execution.
  • Support the planning and execution of community engagement events and partnership activities, utilizing the ACA methodology.
  • Contribute to the development and refinement of operational procedures and administrative best practices, leveraging the STEER framework.
  • Monitor project timelines and deliverables, proactively alerting the team lead to potential risks or delays.
  • Uphold the C.R.E.A.T.E. values in all internal and external interactions, serving as a steward of the BCZ culture.
Team Responsibilities:
  • Attend in-person at least 6 days per month, and abide by the policies and procedures related to meeting attendance.

  • Complete self-reviews, 360 reviews, and team lead reviews, if applicable, as part of the semi-annual performance review process.

  • Complete workplans, required reports, monthly initiative success reports, folder management, and initiative, project, or operational area documentation each month on designated administrative days.

  • Meet with lead/steward monthly to discuss performance, using the C.R.E.A.T.E. values and role description as guides for the discussion.

  • Liaising with team members concerning team roles, responsibilities, and areas.

  • Assisting in the planning and implementation of team projects and initiatives.

  • Helping to coordinate and lead project and initiative tasks and deliverables.

  • Analyzing, presenting, and reporting on key performance indicators and progress.

  • Coordinating routine and non-routine tasks and activities, including, but not limited to, scheduling and documenting meetings, account and vendor management, and operations support, including administration and finance support.

  • Performing other duties required to support Team roles and responsibilities.

  • Upholding Black Cultural Zone's Mission and Vision.

Physical Demands:

Essential functions of the position require the employee to use a telephone, work at a standard computer terminal and be able to follow reasonable ergonomic recommendations, sit for long periods of time, repetitive motions, stand, reach, lift and carry 20 pounds, and bend. A valid Driver's License and current auto insurance are required for logistics and event coordination.
