Trip Support Specialist II
Support Global Aviation Missions Around the Clock
Location: Webster, TX (Remote)
Schedule: Rotating shifts including days, nights, weekends, and holidays

As a Trip Support Specialist II, you will be the operational quarterback behind international business aviation missions, coordinating every detail needed to ensure flights operate safely, efficiently, and seamlessly across the globe.
This role is ideal for aviation professionals who thrive in a fast-paced environment, enjoy solving operational challenges, and are passionate about delivering exceptional customer service.
What You'll Do
Manage Global Flight Operations
Serve as the primary point of contact for assigned flight departments and operators, supporting missions from planning through completion.
Coordinate and arrange:
  • International overflight and landing permits
  • Airport slots and PPRs
  • Ground handling services
  • Crew accommodations
  • Ground transportation
  • Customs and immigration requirements
  • Border overflight exemptions and CANPASS submissions
  • Flight following and trip monitoring

Deliver Exceptional Customer Support
  • Build and maintain strong relationships with assigned customers.
  • Act as a trusted advisor for trip planning and operational support.
  • Provide proactive communication and timely updates throughout all phases of a mission.
  • Resolve customer issues quickly and professionally while maintaining a high level of service.

Trip Planning & Quality Control
  • Manage and monitor assigned trips to ensure accuracy and operational readiness.
  • Create and maintain trip records and cost estimates.
  • Perform quality assurance reviews of all trip arrangements.
  • Ensure trips remain updated based on evolving client requirements.

Support Mission-Critical Operations
  • Participate in the operations communication rotation, managing incoming calls, emails, and operational messages.
  • Assist with after-hours fuel requests and operational support as needed.
  • Collaborate with flight planning, weather, permits, fuel, and support services teams to ensure successful mission execution.
  • Support 24/7 operational coverage through rotating shifts.

Contribute to Operational Excellence
  • Identify opportunities to improve processes and enhance customer service.
  • Share industry knowledge and best practices with colleagues.
  • Act as a team player, assisting other operational departments when required.
  • Support business growth by promoting World Fuel's Trip Support products and services.

What We're Looking For
Required Qualifications
  • 2+ years of experience in aviation operations, trip support, dispatch, scheduling, flight planning, or related aviation environments
  • Exceptional customer service and relationship management skills
  • Strong attention to detail and ability to manage multiple priorities simultaneously
  • Excellent verbal and written communication skills
  • Strong problem-solving and decision-making abilities
  • Ability to remain calm and professional in high-pressure situations
  • Proficiency in Microsoft Office applications
  • Ability to work independently with minimal supervision
  • Ability and willingness to work rotating shifts, including nights, weekends, and holidays

Preferred Qualifications
  • Bachelor's degree in Aviation, Business, or a related field
  • Experience supporting international flight operations
  • Prior experience in business aviation, trip support, dispatch, or flight operations
  • Knowledge of aviation regulations, permits, ground handling, and international operating requirements
  • FAA Dispatcher Certificate or similar aviation qualifications are a plus
