Job description

Accounting Clerk – Real Estate and Private Investment Office

Location: Midlothian, Virginia
Employment Type: Full-Time, In-Office

Position Overview

A privately held commercial real estate and investment organization is seeking a dependable, detail-oriented Accounting Clerk to support the accounting and financial administration of multiple real estate entities, operating companies, and investment partnerships.

The ideal candidate will have practical experience with QuickBooks, strong bookkeeping fundamentals, and familiarity with commercial real estate, property-level accounting, or real estate syndications. This position requires an unusually high level of professionalism, discretion, accuracy, and sound judgment.

The work environment is similar to that of a private family office serving a high-net-worth organization. The successful candidate will routinely handle confidential financial, ownership, banking, investor, and business information and must be capable of doing so with complete discretion.

Key Responsibilities

  • Maintain accurate books and records for multiple LLCs, properties, and operating entities
  • Enter and categorize invoices, expenses, deposits, and other financial transactions in QuickBooks
  • Process accounts payable and assist with payment scheduling
  • Perform bank, credit card, loan, and general ledger reconciliations
  • Track intercompany transactions, owner contributions, distributions, and transfers
  • Maintain property-level income and expense records
  • Assist with rent receipts, tenant ledgers, CAM reconciliations, and property accounting
  • Maintain records relating to investor capital contributions, distributions, and ownership interests
  • Support accounting for real estate syndications, partnerships, and special-purpose entities
  • Prepare organized financial information for management, outside accountants, lenders, and tax professionals
  • Assist with monthly financial reporting, cash tracking, and budget-to-actual reviews
  • Maintain vendor records, W-9s, certificates of insurance, contracts, and supporting documentation
  • Organize accounting files and ensure that financial records are complete and audit-ready
  • Assist with special projects and other financial or administrative responsibilities as assigned

Preferred Qualifications

  • Two or more years of bookkeeping, accounting clerk, or accounting support experience
  • Proficiency with QuickBooks Online and/or QuickBooks Desktop
  • Strong understanding of basic accounting principles, including debits, credits, accruals, and reconciliations
  • Experience with commercial real estate, property management, construction, private investments, or real estate syndications is strongly preferred
  • Familiarity with multi-entity accounting and intercompany transactions
  • Experience working with LLCs, partnerships, investor capital accounts, or property-level financial statements is helpful
  • Proficiency with Microsoft Excel, Outlook, and standard office software
  • Strong organizational skills and exceptional attention to detail
  • Ability to manage competing priorities and meet deadlines without sacrificing accuracy
  • Professional written and verbal communication skills
