Responsible for the quality control of the information entered on the IBS Insight operating system of new loans, renewals, modification, and extensions. The Loan Operations Quality Control Specialist compares information in IBS to the loan documents, loan coding sheets, CRA and HMDA data sheets to ensure the loan was booked accurately. Other duties as assigned.
Essential Functions, Duties, and Responsibilities:
• Conducts quality assurance reviews on booked loan transactions.
• Reviews the loan documents to confirm loan data entered on the system is accurate and complies with bank policy to ensure all loans are properly booked.
• Ensure timely escalation of any operational risk or customer impact to relevant manager and ensures corrections are made timely to reduce the risk of impact to the customer.
• Reviews loans which have escrow for accuracy and ensures the setup on the operating system is accurate and that all escrows are set up as described on the escrow disclosure.
• Reports deficiencies on a timely basis to management, enters the error for tracking purposes and confirms the corrections have been made.
• Understands and ensures the bank coding for swap loans, participations and syndications is accurate. This includes coding such as Fed Call Codes, Note Types, Commitment Types, Collateral Codes and ensure the loan is coded correctly.
• Conduct root cause analysis by identifying weaknesses within a certain process or area and reports this information to management.
• Provide updates at regular meetings with Loan Operations, Risk Controls, Compliance etc.
• Interacts with immediate supervisor and team members regarding loan documentation or procedures if there are questions or concerns.
• Exercises good judgment while developing understanding of the loan review processes, policies, procedures, and compliance requirements.
• Completes needed training for other Loan Operations staff members as assigned.
• Performs routine tasks for Loan Operations, including review and research.
• Responsible for ensuring that the Bank's internal and external customers receive an adequate level of service and ensures all questions or concerns have been addressed.
• Strictly adheres to Bank Secrecy Act requirements, applies organizational policies and procedures in all activities.
• Adheres to all regulatory laws and adheres to compliance policies and regulations.
• Completes assigned regulatory compliance training courses.
Required Knowledge, Skills and Competencies:
• Intermediate to advanced computer skills and proficiency in Microsoft Office Suite products.
• Able to effectively and persuasively express self, using language and grammar in a professional manner.
• Highly motivated team player with ability to provide interactive service to others, building relationships and addressing identified needs.
• Able to research, analyze, identify viable options, draw sound conclusions, and present findings.
• Thorough knowledge of standard and non-standard loan products.
• Thorough knowledge of loan compliance policies.
• Loan documentation and loan processing knowledge is a plus.
• Able to manage and organize a high volume of transactions with proper prioritization.
• Training and presentation experience is a plus.
Industry and Work Experience:
• 5 to 7 years of experience in bank loan operations, commercial booking, commercial loan administration or related field.
Academic:
• High school diploma or GED required.
• Bachelor's degree or equivalent combination of education and experience preferred.
