Job description

POSITION TITLE: Donor Services Associate

POSITION LOCATION: Peoria Service Center, 507 E Armstrong Ave, Peoria, IL 61603

POSITION STATUS: Non-Exempt/Hourly

POSITION SCHEDULE: Part time, 10 hours per week: typically two 5-hour days

At Easterseals Central Illinois, the generosity of donors, sponsors, and community partners helps make life-changing services possible for children and families across our region. The Donor Services Associate plays a key role in ensuring those relationships are supported through accurate gift processing, donor stewardship, and the management of our donor database and fundraising systems.

While this position is primarily administrative and not client-facing, it has a direct impact on our ability to fulfill our mission. Every donation entered, acknowledgment sent, and report generated helps strengthen the support that allows Easterseals programs and services to thrive.

What We're Looking For

We're seeking a detail-oriented individual who enjoys working with data, systems, and administrative processes. The ideal candidate:

  • Has experience with donor databases, CRM software, or similar data management systems
  • Maintains a high level of accuracy and attention to detail
  • Communicates professionally and works well with others
  • Can manage responsibilities independently and maintain confidentiality
  • Has experience in fundraising operations, donor services, nonprofit administration, accounting support, or related administrative roles

Experience with Blackbaud Raiser's Edge is preferred. Candidates with experience using donor management databases, CRM platforms, or similar data management systems are encouraged to apply.

This role is ideal for someone who enjoys working with data and systems and can quickly become a trusted steward of donor information, maintaining accurate fundraising records with a high degree of independence.

Compensation

The expected pay range for this position is an hourly rate of $15.00 to $17.00. The actual rate offered will be based on a variety of individualized factors, including relevant experience, role responsibilities, qualifications, talent availability, and organizational needs. This range may be adjusted in the future.


Position Objective: The Donor Services Associate is responsible for the continued development and maintenance of the Easterseals Central Illinois Constituent Relationship Management (CRM) platform, managing the integrity of agency donor data, and ensuring all the right processes and protocols are operationalized in the system.

Job Functions:

  • Receives and enters all gifts into the appropriate accounts/funds; manages check, credit card, ACH, stock, and online donation processes. Downloads online donations and event registrations. 
  • Provides entry reports with daily deposits or batch-to-balance with batch deposits.
  • Produces timely and accurate acknowledgment letters and tax receipts, tailoring as appropriate to indicate areas of donor support and impact.
  • Provides support during the Annual Campaign and special event fundraising, both in recording data and providing reports, as well as occasionally attending special events on evenings/weekends to provide support. 

 Marginal Responsibilities:

  • Cross-training of Donor Services Manager/Associate duties to take place on a continuous basis. 
  • Enters constituents into the database and updates constituent/organization records as needed.
  • Reconciles monthly with the Finance Department and ensures all deposit reports are shared with Finance in a timely manner.
  • Generates timely pledge reminders for the annual campaign, capital campaign, special events, and other funds.
  • Other duties as assigned.

Education/Experience Requirements

  • High school diploma or equivalent, required.
  • Experience with Blackbaud’s Raiser’s Edge, preferred.

 Competency Requirements

  • Working knowledge of principles and strategies in philanthropy and nonprofit accounting.
  • Working knowledge of personal computers and software (MS Office Suite).

Physical Requirements

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Must have sufficient visual ability to read and complete written correspondence, reports, etc., and computer screen information.
  • Frequent use of hands to grasp, handle, or feel.
  • Regular standing, walking, sitting, and reaching.
  • Work requires ability to lift up to 25 pounds to store, retrieve, and transport and deliver materials for meetings, special events and other tasks. 
  • Ability to drive to all Easterseals centers and service sites within a 100-mile radius, as needed. 

Work Environment

  • Routinely works in office environments with little exposure to excessive noise, dust, temperature.
  • Variety of off-site environments and locations including the outdoors, in all types of weather.
  • Routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
